The Caribbean HIV&AIDS Alliance invites applications from suitably qualified NATIONALS OF ST. LUCIA, BARBADOS, and ST. VINCENT to apply for the following post of Programme Assistant for their respective country.
LOCATION: 3 positions (St. Lucia, Barbados, St. Vincent)
DIVISION: Programme
PURPOSE OF THE JOB:
Under the direct supervision of the Country Programme Manager, the Programme Assistant will perform a variety of information gathering, monitoring and administrative services of moderate scope and difficulty, in direct support of the activities related to the Country Programme.
OVERALL RESPONSIBILITES:
- Assists the Country Programme Manager in the follow up with partners and suppliers to ensure effective implementation, timely reporting of cash transfers and payments with adequate documentation through personal contact with partners and suppliers etc.
- Assists in the preparation and undertaking of training activities, workshops, conferences and public presentations. Assists in orientation and training of partners in CHAAs rules, regulations and programme approach.
- Assists in the administrative disbursement of cash to grantees/partners and payments to suppliers by reviewing and processing relevant information and documentation reports presented by partners and suppliers to Country Programme Manager.
- Maintains accurate filing system on documentation related to financial transactions and programme implementation for programmes in the Country Office as well as prepares periodic reports for financial monitoring purposes as requested by the Country Programme Manager.
- Contributes to the preparation of reports, project documents and submissions to Regional Office by providing information, preparing tables and drafting relatively routine sections.
- Participates in Country Office meetings and other programme meetings as required at the country level and may be requested to prepare minutes on these meetings.
- Receive and review incoming mail, attach appropriate background and identify action to be taken; prepare instructions in final form for replies to correspondence.
- Assist in performing simple clerical duties including but not limited to making and answering telephone calls, making photocopies, keeping records, entering data, binding documents etc.
- Liaise with Regional Office, partners and stakeholders to collect information as requested.
- Any other duties as deemed necessary by the Country Programme Manager.
Education/Qualification :
Diploma in Management, Business Administration, Project Management, or other relevant disciplines OR Completion of a Secondary School with a least five subjects CXCs/CSEC

Work Experience: Diploma and a minimum three years’ experience OR candidates with CXC/CSEC a minimum of five years’ experience in administrative and or programme/project management experience.
