The Partnership for Supply Chain Management (PfSCM) is implementing the Supply Chain Management System (SCMS) project for the U.S. Agency for International Development (USAID) as part of the President's Emergency Plan for AIDS Relief (PEPFAR). SCMS will strengthen or establish secure, reliable, cost-effective, and sustainable supply chains capable of meeting the care and treatment needs of people living with and affected by HIV/AIDS. In coordination with in-country and international partners, SCMS will assist programs to enhance their supply-chain capacity; ensure that accurate supply-chain information is collected, shared, and used; and provide quality, affordable, health care products to those who need them.
Specific Responsibilities
- Collect and organize procurement related documents from the team (physical & electronic) into a data system
- Perform regular file audits to assure all documents are present and complete
- File, electronically scan, photocopy, and bind documents
- Perform Reps & Certs audit and update Crown Agent USA suppliers
- Create advanced reports in ERP, CRM, PowerPoint, and Excel including typing, formatting text and pivot table generation
- Procurement Data Reporting (as requested)
- Work with accounting department to ensure availability and proper filing of all necessary documentation to facilitate payments
- Provide general administrative support to the department as requested
Any other duties appropriate to the position and as requested
Qualifications
- Bachelor's Degree in a related field required; equivalent work experience considered.
- Fluency in English is required; bilingual ability in French is preferred.
- A minimum of 1 years of progressively responsible experience in providing administrative support
- Above average organizational and interpersonal skills
- Proficiency in Microsoft Office programs including Word, Excel, and PowerPoint
- Must demonstrate personal attributes such as loyalty and integrity in addition to being successful in challenging environments and difficult situations, which is inherent in this position.
