Roles & Responsibilities
- Ensure the front office, waiting area and meeting rooms are kept in clean and presentable condition at all time
- Providing administrative support to Staff and Senior Management during meetings by ensuring room bookings are done, tea/coffee and projectors are provided and the rooms are organized to accommodate the number of attendees
- Ensure all meeting rooms are equipped with all meeting requirements (projectors, flipcharts, marker pens etc)
- Control of mails, documents, invoices, receipts, delivery notes etc; making sure that they are recorded and dispatched, as well as making follow up to ensure they reach their destination
- Preparation of cost analysis for couriers (DHL & EMS), Newspaper (Distribution) and taxi vouchers
- Organizing Partners meetings inside and outside the firm
- Assist in logistics of conference and firm events
- Attending to internal and external telephone messages in a courteous and polite manner
- Receiving visitors/clients and directing them accordingly
- Making travel arrangements, flights and hotels reservations for staff and Partners
- Updating the telephone directory
Requirements
- At least an A-Level secondary education
- A certificate/diploma in customer service or other related courses will be an advantage
- Computer literate
- Good command in English and Kiswahili;
- The ideal candidate must also possess integrity, commitment to client services and discretion.
