Major Duties and Responsibilities
Administrative support
- Handle both general and financial administration for the Research Unit, including the preparation of budgets and grant reports and the tracking of expenses.
- Maintain regular contact with contractors and partners. Keep track of contract deadlines and manage all payments, cash advances and reimbursements.
- Coordinate travel arrangements for trips by Research Unit staff, including managing cash advances, check requests, and reimbursements.
- Assist with event planning, which includes preparing invitations, corresponding with participants, preparing background materials, and providing logistical support (travel arrangements, accommodations, catering, etc).
- Manage the Research Unit calendar, including the scheduling of meetings, and take and compile notes.
- In coordination with Human Resources, recruit and supervise Research Unit interns.
Research and Editorial Assistance
- Assist with editing articles, preparing website text, proofreading papers, laying out reports and briefs, securing photo rights, and managing the production process for publications.
- Assist with research as requested by RU staff, which may include bibliography development, summarizing background literature, suggesting potential partners, fact checking, and other related project needs. Compile quarterly digest of publications in the transitional justice field.
- Handle the implementation of specific projects as requested by Research Unit staff, including any follow-up work from any trips, conferences or seminars.
- Participate in internal staff and other meetings.
- Other duties as assigned.
Position Scope
Duties vary frequently and relate to editing and research tasks and to general administrative duties to support Research Unit activities and ensure the timely and transparent administration of grant money.
Program Responsibility
- Provide support to research projects through daily activities, working closely with RU staff.
Fiscal Responsibility
- Responsible for making sure ICTJ resources are used effectively and that assigned expenses and revenues reflect budget goals.
Contacts
- Incumbent has regular contact with staff in other offices to ensure work products are on time and performance goals are met. Incumbent has frequent contact with contractors, partners, funders, vendors, and other agencies, and works with ICTJ staff in Human Resources, Finance, Communications, and Development units to meet the Research Unit’s administrative needs.
Supervision
- Works with Senior Associates and reports to a Director.
Position Requirements
Education
- Bachelor’s Degree with strong academic record required.
Experience
- 1-2 years general work experience.
Related Skills or Knowledge
Must have administrative experience. Must possess excellent oral and written communication skills and strong interpersonal skills. Experience with editing and/or research is highly desirable. Incumbent should demonstrate a high level of professionalism and have the ability to work under pressure, meet deadlines, and follow-up on tasks independently. Must be fully proficient in Microsoft Office. Proficiency in InDesign is desirable. Knowledge of other languages is highly desirable.
