Organizational Setting

The Department of Management (MT) provides a 'platform of services' that serves as a foundation for the successful delivery of the IAEA's scientific and technical programmes. Its mission statement is as follows: "MT is a partner and a business enabler that champions change and efficiency, leveraging a common purpose". Thus, among other support activities, it assists a scientific manager in recruiting the right expert, helps a technical officer coordinate the purchase of radiation equipment, works with the press to help clarify the technically complex work of the IAEA, and ensures that all Board documents are translated and distributed on a timely basis to Member States. The Division of General Services provides service functions throughout the IAEA such as travel and transport support, facilities management, archives and records management, and management of the VIC Commissary. It has five sections. The Seibersdorf Facility Management Section supports the IAEA's Laboratories at Seibersdorf in all technical matters related to operation of the site and implementation of the IAEA's programmes and projects. This includes providing safety, security, administration, logistic, communication and transport services.

Main Purpose

The Building Maintenance Clerk in responsible for coordinating with outsourced companies the cleaning, gardening and other janitorial services for the Seibersdorf Laboratories and ensuring services provided are in accordance with contractual agreements. He/she assists maintenance technicians and the Handyman in carrying out their individual assignments. In addition, he/she is the alternate driver for the daily shuttle bus between Seibersdorf and the Vienna International Centre (VIC).

Working Relationships

The Building Maintenance Clerk supervises external outsourced cleaners and gardening service providers during performance of their work. He/she interacts daily with all IAEA laboratory staff and staff of the Austrian Institute of Technology (AIT) for delivery of services. The Building Maintenance Clerk maintains close contact with the Supervisor, Facilities Management Unit for coordination and to resolve issues as required.

Functions / Key Results Expected

Monitor and coordinate the efficient delivery of services of outsourced cleaning staff in providing full scale cleaning services for laboratories, offices and washrooms, and other common areas, including waste disposal, ensuring work is carried out as per contract specifications. Monitor and oversee the gardening services provided by the outsourced company and coordinate with AIT for snow removal services, ensuring work is carried out as per contract specifications and providing input to the work review and preparation. Assist other technicians in the Section and the Handyman to carry out their regular duties, such as preparing and cleaning up work areas, handling tools and equipment, troubleshooting, moving equipment and goods within the premise, and other general work as required. Collect waste containers and empty them in the Laboratory's waste collection. Refill liquid nitrogen containers in specific laboratories. Act as alternate driver for the daily shuttle bus service between Seibersdorf and VIC.

Knowledge, Skills and Abilities

Customer orientation: Ability to deal with staff at all levels in a professional and tactful manner. Interpersonal skills: Ability to operate effectively across organizational boundaries and to establish and maintain working relations in a multicultural, multi-ethnic environment with sensitivity and respect for diversity. Computer skills: Basic knowledge of the MS Office 2010 (Outlook, Word, Excel), which is the IAEA standard. Valid Austrian driving license required. Forklift driver's license is an advantage.

Education, Experience and Language Skills

Completed secondary education. Minimum of two years of experience in cleaning services and facilities management functions. Experience in cleaning laboratories is an advantage. Good knowledge of both spoken and written English essential. Fluency in German is required. Knowledge of another official IAEA language (i.e. Arabic, Chinese, French, Russian, Spanish) an asset.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €30 689 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
