The International Potato Center (CIP) is seeking an Executive Assistant to support the Director General.
The Center: CIP is a not-for-profit international agricultural research-for-development organization with a focus on potato, sweetpotato, and Andean roots and tubers. Its vision is of roots and tubers improving the lives of the poor. CIP is dedicated to achieving food security, improved well-being, and gender equity for poor people in root and tuber farming and food systems of the developing world. The position: The Director General’s Executive Assistant will support the Director General’s Office in a wide range of administrative and general support duties of a highly responsible and confidential nature to guarantee smooth flow and effectiveness of the DG’s Office.
Duties and Accountabilities:
- Manage the Directors General’s agenda, including:
- Scheduling for daily agenda when in Lima
- Organization and coordination of staff meetings (e.g., Executive Committee, quarterly all-staff meetings)
- Organization and all arrangements for international travel (registrations, airplane tickets, hotel reservation, visas, insurance, meetings preparations)
- Manage the Director General’s communication, including:
- Manage telephone communication, including teleconferences
- Drafting correspondence, maintenance of official correspondence, managing regular mail
- Managing the official DG email account
- Manage the Office of the Director General, including:
- Oversee and monitor the DG’s budget
- Oversee logistical functioning of the DG Office
Selection Criteria:
- Technical degree in secretarial administration
- Results oriented, with outstanding competencies for proactive planning and organizing
- Ability to prioritize tasks, meet deadlines and work in multicultural environments
- Ability to work under pressure
- Ability to organize events and travel
- Excellent skills in handling office technology and software applications
- Superb writing and editing skills in both English and Spanish
- Excellent interpersonal and team work skills
- Strong communications skills
- Demonstrated ability to solve problems and capability to work independently
- Outstanding oral communication skills in English and Spanish
- At least five years of experience required in a similar position
