PSI East Africa Intern


RESPONSIBILITIES:
Duties include, but are not be limited to: • Responding to internal and external requests for information • Collect necessary documentation for, raising and organizing purchase orders using Lawson financial system • Process vendor and consultant invoices generated both through DC and the country offices via the Lawson financial system. • Assisting in the tracking of department budget and expenditures. Correct entries as needed. Reconcile corporate credit card expenses • Assist in analyzing labor expenses • Assist Associate Program Managers with project budget preparation and realignments as necessary • Uploading new projects and project modifications in the PSI award input program, CuteFlow • Maintaining filing systems & organizational infrastructure • Updating and maintaining department Knowledge and Information eXchange (KIX) page • Assisting with domestic and international travel arrangements including hotel reservations, visa applications, drafting necessary invitation letters and arranging meeting schedules for international staff visiting DC • Organizing departmental events • Assist with scanning, printing, copying and faxing needs and assist department staff with incoming and outgoing mail services • Fulfilling other programmatic and administrative functions as required
QUALIFICATIONS:
• Experience working in a fast paced office environment • Excellent communication skills • Detail oriented, proficient in word processing and spreadsheet applications • Advanced computer skills (MS Office application, including Word and Excel) • Fluency in English
The successful candidate will have excellent organizational and administrative skills with special attention to detail; proven ability to manage large workloads and organize work efficiently with minimal supervision; ability to prioritize and perform multiple tasks within deadlines; demonstrated problem-solving capacity; willingness and ability to work independently and on a team in a cooperative. Preference will be given to candidates with an interest in international health and development issues.
