Job Title: Travel Officer

Grade: P3

Supervisor: Head of Procurement and Travel Division

Directorate: Administration and Human Resource Development

Duty Station: Addis Ababa, Ethiopia

2.  JOB PURPOSE:

Under the supervision of the Head of Procurement, Travel and Stores Division, the incumbent shall assist in planning, organizing and discharging the responsibilities and activities of the Travel unit of African Union Commission.

3.  Major Duties and Responsibilities:

Under the direct supervision of the Senior Travel Officer as the Head of the Unit the incumbent shall perform the following tasks within the Unit:

a.   TheʼsIncumbentoverallresponsibility will be to find solutions on strategic issues of the

Travel Unit with a major role of improving the customer service levels but not limited to the following;

b.    Processing of tickets and MCOs;

c.    Maintain an efficient record/reconciliation of all tickets issued and sent

d.    Preparing and submitting monthly reports relating to travel activities;

e.    Periodically, assisting in the processing of travel requests and Purchase orders

f.     Assist in the verification of all invoices submitted by travel agencies or Airlines before they are sent for payment;

g.    Ensure  timely  settlement  of  invoices  upon  reconciliation  of  the  accounts  of  the  travel agencies and airlines;

h. Liaise with PBFA Department on the payments of travel services rendered to the commission;

i.      Assist in initiating the communication between the Airlines and the Commission through correspondences with the Airlines on matters concerning business relations between the Commission and Suppliers of Air Travel Services;
j.      To expedite contracts/MOUs and monitor the contract management aspects in order to ensure compliance;

k.    Perform any other duties as may be required from time to time.



4. Qualifications and Experience Required:

ʼsMasterDegree   in   Business   Administration/   Marketing   Management,   Pr              ocurement,

Transport or any related field from a recognized institution or

A first level university degree with relevant work experience will be accepted in lieu of Masterʼdegree.

Membership of IATA or equivalent qualification from a recognized institution is a must for both the above qualification.

5. Professional experience required:

At least seven (7) years progressive professional experience in airlines/ travel agency and travel Management i.e. ticketing and airline sales in a major Government, International Organization, Public or Private sector organization.


6. Other Relevant Skills:

               Computer literate particularly in several packages and MS Office Applications

               Knowledge of SAP MM module shall be an added advantage.

               Knowledge of AMADEUS CRS shall be a valuable advantage.

               Ability to work with minimum supervision;

               Excellent interpersonal skills;

               Ability to organize and motivate others to work in a multi culture environment;

               Demonstrate ability to work in a team;

               Excellent Knowledge of the workings of international organizations;

               Good analytical skills;

               Excellent drafting and Report writing skills;

7. Language Requirement:

Proficiency in one of the African Union working languages. Proficiency of one or several other working language(s) would be an added advantage

8. Age Requirement:

Candidates must preferably be between 30 and 45 years old.


9. Tenure of Appointment:

The appointment shall be for an initial period of One (1) years, the first three (3) months of which shall be on probation. It shall be renewable subject to performance and availability of funds.

11. Remuneration: The salary attached to the position is an annual lump-sum of US$74,538.17 inclusive of all allowances for internationally recruited staff, and US$

64,868.51 inclusive of all allowances for locally recruited staff.
