The Partnership for a HIV Free Generation - Kenya (HFG/K) is an initiative designed to achieve a 50% reduction in HIV incidence among youth aged 15-24 years in Kenya. The project is aligned within the PEPFAR prevention strategy and the country of Kenya’s prevention strategy. The aim is to cultivate a network of global and local partnerships among the private sector, government and implementing partners to define youth-focused HIV prevention interventions, increase collaboration, leverage resources and capabilities, increase youth access to knowledge, services, education, life skills and employment and reduce gender disparities, violence, drug and alcohol use. This work will be accomplished through national and regional mass media campaigns, coordination and participation of implementing partners for youth activities in Kenya and initiation of private-public partnerships for enhanced impact. The project will generate an independent, self-sustainable entity called HIV Free Generation, Kenya.
PATH seeks to recruit a HR and Administrative Officer for the Partnership for a HIV Free Generation. S/he will work closely with the PATH HR Business Partners and the Administrative Officer to provide administrative and HR support in the design, implementation and monitoring of project activities. The specific roles and responsibilities will include:
- Assist staff in its interpretation of PATH policy.
- Liaise closely with the PATH HR Business Partners regarding all Human Resources issues, seeking guidance when unsure.
- Coordinate the recruitment process for HFG/K including scheduling of orientation and ensuring new hires have all the support required to settle down to work.
- Ensure new hires are enrolled and receive all the benefits in a timely fashion as well as all the necessary and relevant documentation.
- Support team leaders and staff during the performance monitoring process.
- Maintain staff capacity building plans and assist staff in finding opportunities for development.
- Assist with the separation process at PATH and eventually with HFG/K.
- Maintain leave schedules and ensure compliance with HR policy on leaves and holidays.
- Assist the Finance Advisor in the development of the HFG/K Human Resources policy.
- Maintain all HR records including electronic and hard copy filing system for staff meetings, timecards, service contracts and office procurements.
- Assist program staff to ensure that coordination, implementation and monitoring of program activities is in accordance to the work plan.
- Manage inventory of office equipment and supplies hence keep track of issuance, movements and disposal.
- Maintain an inventory of program materials in the store, keep track of the distribution and ensure monthly reconciliation.
- Coordinate maintenance of office and office equipments.
- Manage and liaise with service providers to ensure HFG/K gets value for money.
- Supervise the receptionist and drivers in the performance of their duties. Mentor the receptionist and guide them in the performance of their duties.
- Backstop the Administrative Assistant when away from duty. Take minutes during program, staff and partner meetings.
- Maintain program and administrative specific files and updates them from time to time to ensure current information is accessible for future reference as the need arises.

- Knowledge of principles and practices of basic office management and Human Resources procedures.
- Demonstrated ability in Microsoft office computer packages e.g. Microsoft word, Excel, Power point and outlook.
Degree in business management with a bias in human resources management plus a minimum of three years of experience working in a fast-paced public or private organization and at least one year of supervisory experience. Diploma or Higher diploma in HR will be an added advantage.
