Organizational Setting

The Division of General Services is one of the six Divisions in the Department of Management. It provides service functions through the Director's Office and five Sections: Facilities Management, Seibersdorf Facilities Management, Archives and Records Management, Transport and General Support and Commissary Management Section.

The Commissary at the VIC is a tax and duty-free store that is operated under the authority of the Director General of the IAEA. It was established as a self-sustaining and non-profit making operation in order to facilitate the purchase of limited quantities of consumer goods by the diplomats of Permanent Missions of member states accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

Under the overall direction of the Director, Division of General Services and the direct management of the Head, Commissary Management Section, the Commissary consists of three Units: Procurement, Sales and Warehouse, and Invoice Control. The Sales and Warehouse Unit is divided into three major Groups: the Main Sales Group, the Cosmetics and Boutique Group and the Warehouse Group. The Cosmetics and Boutique Group is responsible for the display and sale of all goods in the Cosmetics and Boutique areas.

As a member of a team of Commissary staff, the incumbent actively sells the products in the Commissary sales areas, replenishes shelves and works at the cash register: all these tasks are physically strenuous since they involve long hours of standing, walking around the shop floor, bending and lifting of boxes and products. Work may be assigned by the Group Supervisors or the Head, Sales and Warehouse Unit. The customer-oriented environment demands a willingness to work shift and, sometimes at short notice, long hours.

Main Purpose

Under the immediate supervision of the Group Supervisor and the general supervision of the Unit Head, Sales and Warehouse. The incumbent actively sells the various products in the Commissary, proactively assists customers on the sales floor, replenishes shelves, arranges assortments, assists with visual merchandising and promotions, product displays, performs cashier duties as well as all other assigned duties independently.

Working Relationships

The incumbent interacts with Commissary customers of all levels regarding product related enquiries (product locations, product properties, prices, promotions, etc.), provides assistance and advice to customers' specific questions. He/she exchanges routine information with other Commissary staff of all other Units. Furthermore, the incumbent supports external contractors and sales staff on the Commissary's working environment.

Functions / Key Results Expected

  • Actively sell assigned products in the Commissary sales areas; provide professional consulting services to customers regarding product suitability based on individual requirements. Demonstrate excellent customer service and professional expertise, advise customers on trends, novelties and special offers.
  • Carry responsibility for a number of assigned product lines for which he/she issues the Goods Received Reports. In doing so, he/she takes over product lines by verifying correctness of the delivery against delivery papers or invoice, and enters into the database system the information on the goods received in an accurate and timely manner. In the case of over-/under-deliveries, wrong deliveries or damaged goods, issues discrepancy reports. Ensure appropriate storage of products as well as their proper and timely transfer to the sales floor.
  • Collect boxes/cases of merchandise from the Warehouse, open the products and replenish them on the shelves. Use mobile computing devices to check availability of stock. Report any discrepancies to Supervisor. Place products according to planograms and merchandising guidelines. For merchandise not labelled with barcodes, print out the tickets with the relevant article numbers and attach them to the product.
  • Operate cash registers in the Commissary, check if billed amounts match the number of items purchased; receive payments from customers. At the end of the shift, print out the end of day report and hand the total cash intake to the Supervisor. Ensure proper maintenance of cash register and report problems to Supervisor.
  • Ensure that only authorized persons are allowed to make purchases by checking grounds passes and pictures at the cash register. Interact with customers and address routine queries/complaints from customers; refer more complex queries/complaints to Supervisors.
  • Assist in the established book-stock adjustment procedures and take part in the yearly inventory taking.
  • Backstops for Information Desk Clerk as far as Information Desk duties are concerned.

Knowledge, Skills and Abilities

  • In-depth retail experience in the assigned assortment.
  • Strong customer orientation with the ability to deal with customers and staff at all levels with discretion and in a professional manner.
  • Familiarity with trends, novelties and market developments.
  • High degree of accuracy to identify and label merchandise as well as to handle cash transactions.
  • Good health and physical fitness to carry out moderately strenuous work.
  • Basic IT skills (Database input, Email, Internet).
  • Demonstrated ability to work in a multi-cultural environment with sensitivity and respect for diversity.

Education, Experience and Language Skills

  • Completed secondary education and preferably a completed apprenticeship as a sales clerk in the retail industry.
  • Minimum of two years of relevant experience including, a successful track record in retail sales. Ability to develop and expand a customer base.
  • Familiarity with merchandising new collections, visual merchandising, and creating attractive displays for promotions.
  • Basic clerical experience including data entry.
  • English Language Test (Level 3) to IAEA standard.
  • Good knowledge of English and German is required. Knowledge of another official IAEA language (i.e. Arabic, Chinese, French, Russian, Spanish) desirable.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €30 689 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
