TITLE OF POSITION: ADMINISTRATIVE ASSISTANT FSN-07

HOURS : FULL TIME 40 HOURS PER WEEK

SALARY: FSN-07 (ETB 75,375 to ETB 135,675 per annum) depending on the candidate's earning history, qualifications and experience. This position may initially be filled at a trainee level which is equivalent to FSN-06 (ETB 59,288 to ETB 106,724).
MAJOR DUTIES AND RESPONSIBILITIES: Under the supervision of the Office of Foreign Disaster Assistance (OFDA) Office Chief, the incumbent provides direct program support, both operationally and administratively, for the OFDA unit. Handling the office budget and petty cash. Manages the day-to-day operations and assignment of OFDA drivers and vehicles. Manages the vehicle maintenance and record keeping. Equipment management including inventory and serves as liaison with communications office in OFDA/W regarding supplies and training. Provides Amharic-English/English-Amharic translation for OFDA staff and visitors, prepares/drafts letters, memoranda and fax/cable communications; maintains appointment calendars; receives visitors and answers inquiries from members of the public, government and non-governmental organizations and diplomatic missions; handles travel arrangements for OFDA staff and TDYers including DART teams; performs various other tasks in support of the function of OFDA activities as assigned.
MINIMUM QUALIFICATIONS: In order to qualify, the applicant must possess the following:
EDUCATION: Diploma in Administrative Studies, Management or related field is required; Training in administration, finance or a (humanitarian) subject is preferred.
EXPERIENCE: At least three years of progressively responsible experience related to program management and administrative assistance is required. An understanding of humanitarian work in Ethiopia including governmental and non-governmental is highly desirable. Experience working for international organizations or donors.
LANGUAGE: Level IV (fluent) English. Excellent written and spoken English and Amharic. Knowledge of Amharic is essential, and knowledge of one or more other major Ethiopian languages is highly useful.
KNOWLEDGE, SKILLS, AND ABILITIES: The position requires good organisational and management skills, strong analytical skills, good social and professional judgement, excellent interpersonal skills in cross-cultural and multi-level settings; ability to interact effectively with a variety of government officials and international agencies and to maintain collaborative working relationships within a team structure. Computer skills, including Word, Excel and Power Point, Microsoft Outlook. Strong writing and reporting skills. Strong interpersonal skills with demonstrated initiative. Willingness and demonstrated ability to travel and work in all regions of Ethiopia. The selected candidate must be capable of producing high quality work, often under time pressure and in complex situations. S/he must be able to communicate effectively in writing and verbally in English and Amharic or other major national language; lead and participate in discussions and meetings effectively. S/he must also be able to rapidly analyse information, evaluate data, and prepare reports and related documents in English and Amharic.
