The Special Assistant to the CEO will work under the supervision of the CEO and will be responsible for managing information flow to and from the CEO; managing processes to ensure the CEO is informed of organizational activities, trends in global development, and organizational risks and opportunities; providing high-level support and project management to the executive team; ensuring well-prepared CEO briefing documents, event briefings (including speeches), and regular and timely organization-wide communication from the CEO; drafting correspondence to high level stakeholders; and managing the board. This role will also manage the Executive Assistant to the CEO and support other executive operations as needed.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Communications – Oversee the creation of daily CEO briefing documents; plan and prepare timely organization-wide communications from the CEO; draft strategic communications; prepare external correspondence (thank-you notes, cards, letters, etc.)
- Events – Oversee the preparation of briefing materials for meetings and events; work with the executive team to prioritize invitations and opportunities to deploy the CEO; draft event briefings for CEO; draft talking points for CEO (with assistance from Communications Team); ensure CEO is well prepared for internal and external events
- Information Flow – Design and implement a system for efficient information flow to and from the CEO; proactively engage other ONE teams to learn about organizational activities; update CEO on major ONE projects through weekly briefings; collect internal and external documents for CEO’s review; handle approvals on behalf of the CEO; track, monitor and follow projects, action items, strategies that stem from the CEO
- Board – Act as main liaison to ONE’s board of directors; manage preparation and execution of board meetings; coordinate committee meetings and ensure regular contact; provide high level support to individual board members as needed
KNOWLEDGE/SKILLS REQUIRED
Bachelor’s degree and at least 4 years’ experience providing senior level management support; superb written communications skills; excellent oral and interpersonal skills; competence with tracking, coordinating and follow-up of priorities and projects; superb professionalism and diplomacy; ability to interact with high-level individuals internally and externally; exceptional organizational skills and attention to detail; proven ability to exercise good judgment on a consistent basis; ability to multitask and prioritize a number of projects; ability to work in a fast-paced, entrepreneurial – and sometimes unpredictable – environment; and ability to work long hours, as needed.
