General Background
At Muhimbili National Hospital, at the Paediatric Unit, there is a dedicated Children’s Cancer ward. The ward has around 60 inpatients and approximately 15 staff. Treatment of children with cancer is completely free once they are at the ward. The ward treats in the region of 350 new children each year.
Tumaini La Maisha was established in 2011 and is the first and only NGO dedicated to improving the wellbeing of children with cancer in Tanzania. Tumaini La Maisha aims to provide non clinical services to children with cancer, such as a school and play therapy programme, but also provides direct support to the clinical services on the ward.
The role of Ward Administrator has been identified as a position that will greatly add to the efficiency of the daily running of the ward and the effectiveness of the Head of Paediatric Oncology. This position is part of the implementation of a broader 5-year Strategic Plan for Paediatric Oncology in Tanzania that will improve quality of and access to care and treatment for children with cancer all over Tanzania.
Main Purpose of the Role is to provide administrative support to the daily functioning of the Paediatric Oncology ward at Muhimbili National Hospital and assist the Head of Paediatric Oncology.
Duties & Responsibilities
- Provide administrative support to the Head of Paediatric Oncology
- Coordinate and monitor the drugs programme, including procurement and documentation of drug consumption on the ward
- Administer overtime schedules and monthly payments for ward staff
- Manage petty cash and ensure that all financial systems and procedures are adhered to
- Provide logistical support to visiting international surgeons and other experts to the ward
- Data entry of patient records into the patient database
- Manage office stationary supplies within the ward and the school
- Liaise with maintenance staff to deal with ward maintenance issues
- Coordinate a quarterly newsletter for supporters
- Provide administrative support to all fundraising or awareness raising activities relating to the ward and Tumaini La Maisha
- Ensure medical volunteers documentation and act as a point of contact for all volunteers on the ward
- Provide administrative support to the Patient Liaison Co-ordinator in relation to the admission and discharge of families to Ujasiri House, TLM’s residential facility for long-term child cancer patients and their families
Essential Requirements:
- Diploma or degree in a relevant field such as administration, communication or accountancy
- Strong communication skills, with excellent written and spoken English and Swahili
- 3-years work experience in an administrative position
- Financial management experience which includes operating a petty cash system
- Proven computer skills in Microsoft Office applications with advanced skills in Excel
- Strong organisational and time management skills
- Ability to take initiative, prioritise and be proactive
- Flexibility and experience of working within a challenging and fast paced environment
- The ability to work within a culturally diverse team spread across different functions
Terms & Conditions.
- This position is an initial 2-year contract with a 3 month probationary period
- Typical working hours are 8am – 5pm Monday to Friday
