The Strategic Partnership Division (SPD) is responsible for proactively driving the strategic positioning of UN Women so that the size, sources and predictability of its resources help the organization achieve its strategic goals. SPD is organized into three branches: Resource Mobilization, Civil Society, and Communications. Under the supervision of the Chief of Communications & Advocacy, the Print Production Specialist coordinates print production and translation matters for the Communications Team as well as other UN Women sections at HQ. S/he also advises UN Women colleagues on production and branding issues, ensuring that UN Women publications, documents, websites and other products adhere to UN Women’s corporate design guidelines for consistent and effective branding. S/he maintains a roster of designers and printers, develops specifications for bids and ensures quality control in the production of UN Women publications. S/he is also responsible for monitoring stocks and digital archives of UN Women publications and timely reprinting/ reproduction thereof. The PrintProduction Specialist promotes a client, quality and results-oriented approach. |
Duties and Responsibilities |
Summary of Key Functions : Coordinates the production of UN Women publications: - Reviews publication plans with UN Women sections at HQ, provides advice as to format, print-run, timeline etc. and develops a production plan on this basis.
- Develops specifications for production processes and initiates competitive bidding process as needed with graphic designers, printers, photo researchers, copy editors etc; prepares presentation of selected vendors to UN Women’s Procurement section and ensures preparation of contracts.
- Oversees all stages of the production process, such as design, printing, and copy editing to ensure timely and efficient production of high-quality print products; in this function, acts as focal point for and intermediary between editorially responsible sections and vendors to ensure that all needs for production of cutting-edge publications are met.
- Manages process of ISBN issuance and registration.
- Updates and expands roster of vendors; coordinates the recruitment of designers on retainer contracts.
- Advises on the development of a new system for production planning, registration, review, and tracking of expenses.
Advises UN Women sections at HQ and in the field as well as National Committees on branding issues, and strengthens UN Women’s brand through publications programme: - Ensures adherence to UN Women Graphic Standards and production guidelines in all UN Women products, such as publications, documents, websites and promotional items, and advises HQ sections and field offices accordingly.
- Advises on further developing and improving such graphic standards and production guidelines, and coordinates the branding process accordingly.
- Advises on and coordinates the development of graphic design templates for thematic and/or functional publication series to strengthen UN Women’s brand.
Oversees distribution of publications: - Ensures that all UN Women publications are published on UN Women websites to increase recognition of UN Women as a knowledge provider on gender issues.
- Supervises distribution of UN Women publications to key target audiences and field offices; to that end, supervises updating and expansion of UN Women contacts database and shipment of publications; drafts cover letters for publication distribution and other related correspondence.
- Responds to requests from the field to backstop publication launches and dissemination.
- Directly supervises distribution assistants.
- Expands and coordinates relationships with UN Publications as well as commercial distributors and universities to increase outreach; ensures timely provision of marketing material and publications to distributors; monitors sales figures and ensures receipt of funds.
Manages inventory and digital archive of UN Women publications: - Updates and expands UN Women publications database/ inventory and makes records available on the Intranet.
- Establishes print production taxonomy in the Digital Asset Management System and archives all digital design files since the establishment of UN Women; maintains print file section of the Digital Asset Management System for easy access and reproduction.
- Issues regular alerts on new products.
- Advises on and initiates timely reprinting of publications as needed.
Coordinates translations of UN Women publications, the website and other material: - Initiates and coordinates the recruitment of translators and proofreaders on retainer contracts.
- Maintains roster of translators and proofreaders in main UN languages to ensure high-quality translations.
- Coordinates all translations for the UN Women website between web editors, translators and proofreaders.
- Coordinates translations of UN Women publications and other material between designers, translators and proofreaders.
- Coordinates interpretation services for events upon request.
- Advises UN Women colleagues on translation matters.
Impact of Results: The results have a substantial impact on the visibility of UN Women through coherent visual presentation and dissemination to increase the reach to target audiences. The results also have an impact on the quality of UN Women publications through systematic review of publication plans, compliance with graphic standards and design/ format, and quality control of translations. |

Required Skills and Experience |
Education: - Master degree (or equivalent) in Graphic Design, Studio Art, Publishing, Marketing, or related field.
Experience: - Minimum of 5 years relevant experience in Project Management, Branding, Print Production, Production Management, Art Direction at the national or international level.
Language Requirements: - Fluency in English (written and oral)
- Knowledge of another UN language is an asset
