•Support the Head Financial Control and Processes, and management team
•Ensure the efficient and effective operation of the office in terms of secretarial support and general office administration, logistics management and other related tasks
•Ensure that all urgent matters are attended to and the day-to-day operations are efficiently managed and supported
Key responsibilities
1. Administration:
Coordinate travel arrangements
Coordinate internal and external meetings
Handle confidential and sensitive documentation
Organise photocopy, print and bind documents
Maintain up to date details of contact lists
Order and maintain of adequate stationery supplies
Maintain attendance register
Maintain leave schedules
Establish and maintain filing systems
General office administration such as office moves, furniture and lighting, telephones
Arrange parking and access
Book meeting rooms
Submit staff and vendor claims for payment
Order computer equipment and maintain asset register
Coordinate on-boarding of new employees
2. Secretarial:
Prepare presentations
Distribute mails
Screen calls and messages
Manage diaries
Draft correspondence
Draft Minutes
3. Workshop and meeting coordination:
Organise events for the department as required
Planning
Handle responses and confirmations
Manage logistics (venue, catering, meet and greet, etc)
