OVERALL JOB PURPOSE:
To ensure operational excellence in Ultimate
Security Tanzania Limited operations so as to provide quality service to
customers. The key focus will be the
efficient deployment and oversight of the daily operations. The tasks will
involve the allocation of resources to ensure optimal utilization of manpower
and resources to achieve operational efficiency
FUNCTIONS OF JOB:
·
Ensure the daily posting of trained, equipped,
motivated and well-managed personnel.
·
Development and Implementation of a Quality Management
System designed to ensure continuous improvement and meets the requirements of
the company.
·
Compile report based on information received from
Inspectors
·
Ensure any special instructions from CSM’s are
implemented
·
Attend all incidents on your shift
·
Compile comprehensive incident reports.
·
Plan route for site visits, ensuring site visits are
as per each customers SLA or any special requests
·
Ensure Inspectors conduct sites visits as per your
route plan
·
Check that sites are reporting hourly.
·
Identify any problem areas that require attention and
ensure they are dealt with or reported appropriately
·
Ensure that all instructions are communicated to
Inspectors for the shift
·
Hold muster parades for incoming staff reporting to HQ
·
Receiving applications for Leave from Inspectors and
hand them to relevant CSM.
·
Receiving applications for advances on Wages and
handing over to relevant CSM.
·
Manage minor Disciplinary matters reporting action
taken to relevant CSM.
·
Receiving pay queries, investigate validity then
handing it over to relevant CSM.
·
Ensure client queries/incidents/complaints are handed
to the relevant CSM.
·
Manage uniform replacement requests brought by
Inspectors
·
Informing CSM’s and HR of
Resignations/dismissals/desertions for replacement.
·
Process of outstanding matters in the Occurrence Book.
·
Record statistical data as required by management
·
Write up minutes of any meetings that have been held
during the shift.
·
Read through and action any internal mail marked for
your attention.
·
Follow through on outstanding matters in the shift
manager diary crossing through items that you have cleared.
·
Brief CSM’s and discuss any outstanding problems
·
Debrief Inspectors
·
Ensure shift change is managed properly
·
Ensure record of security officers coming on and off
duty are correctly recorded
·
Ensure correct number of relievers are allocated per
shift
·
Ensure posting of replacement security officers is
properly recorded
o
Ensure Standfast and late for duty are reflected
confirming that the hours worked are correctly shown.
o
Where a late for duty or standfast has occurred, make
sure the two balance out and check to see that the Shift Leader (weekends) has
stoodfast where there is a late for duty or absent without leave.
·
Ensure inspections are properly recorded and quality
information is returned
·
Review site inspection and deployment forms and
compile a report. Pay particular
attention to:-
o
The times of the visits / replacement.
o
The duration of the visits.
o
What functions the Inspector fulfilled during their
visits.
·
Signing off of Deployment Sheets.
JOB HOLDER SPECIFICATION:
Experience:
·
Fluent in English and Kiswahili both written and
oral
·
Experience in managing complex logistics.
·
Proven track record in delivering results in a high
pressure environment
·
Strong operations experience.
·
Extensive experience in managing people and teams
within a dynamic environment
·
Computer proficiency
