Administration Clerk
The role
To provide and administrative services / functions / data entry for the area of responsibility. The administrator is responsible for updating of the computerized inventory management system to ensure that all receipts, issues, data and orders are correctly captured into the various systems to allow for effective store, maintenance, rock tools and customer reconciliations.
Other Duties & Responsibilities
- Enter receipts / data into system and produce GRN's / dockets, which ensure that parts are transferred from distributor and receipted into stock.
- Tracking of quotes / incoming and outgoing stock invoices and packing lists.
- Ensure all applicable data is accurately captured and transferred / typed into reports and sent timeously to Customers / Supervisors / Managers.
- Complete and file PPE documentation for all applicable Sandvik employees.
- Perform office administrative duties (photocopies, filing, scanning, posting, etc.).
- Handle applicable email correspondence from the Customer or applicable Manager and action / forward to the required department for action.
- Prepare and complete timesheets and leave data for employees to ensure payroll input is correct.
- Report faults on office equipment timeously to your direct Supervisor.
- If applicable, complete all employment sign-on actions / checklists for new recruits and communicate timeously to the responsible Manager.
- Ensure your work areas meet SMC Safety standards and targets.
- Support the Sandvik "Zero Harm" and "Developing a Culture of Consequence" programs.
- Report hazards, near misses and promote the Sandvik EHS culture across the East African territory.
- Foster continued good relations with all client staff and understand the Customers business processes.
Your profile
- Form IV with passes in Mathematics & English
- Business administration qualification
- Computer literate
- Employment medical fitness
- Minimum one (1) years' experience in administration / data processing
- Experience in store / warehouse / mining environment an advantage
- Work according to site and company safe working procedures.
- Ability to work accurately, efficiently
- Ability to maintain confidentiality at all times when dealing with situations.
- Foster continued good relations with all client staff
- Be flexible, self-motivated and demonstrate initiative
- Ability to interface and work with Technicians / peers / client staff, with strong interpersonal skills and a good team player.
