PURPOSE
Provide administrative support services for assigned programs in Africa
RESPONSIBILITIES
- Develop and maintain familiarity with all aspects of assigned projects, including knowledge of donor and IYF procedures and policies and all technical work in-country.
- Ensure the timely receipt, approval and processing of grants and contracts as well as the approval and processing of disbursements accordingly.
- Provide administrative support for assigned programs, including coordinating and scheduling appointments, preparing correspondence, organizing project documents/files, organizing contacts lists, etc.
- Provide logistical support in organizing program workshops and events, which includes booking event facilities, handling plane reservations for the participants and preparing material.
- Maintain paper and electronic filing system for assigned programs.
- Support program staff in drafting implementation plans, quarterly and annual reports, and contracts, memos and agreements.
- Support implementation of learning and monitoring and evaluation related activities such as organizing webinars, managing program-specific learning platforms, and coordinating with field staff and partners on the collection, uploading and management of youth data.
- Support the implementation of communications plans of assigned programs, including editing documents and ensuring the timely input on communications-related deliverables.
- Prepare correspondence and other communication.
- Communicate with field staff, contractors, and partner organizations as directed.
- Provide general support to programs and perform other tasks as requested.
REQUIREMENTS
- Bachelor’s Degree in a field relevant to IYF’s mission and programs (Social Science, Economics, International Relations, Public Policy) plus 1-3 years of work experience preferred.
- Work experience in Africa highly desirable.
- Knowledge of, or experience with, programs that support youth employment, education/training, and/or social services preferred.
- Excellent written and verbal communication skills in English and required. Proficiency in a second language highly desirable.
- Ability to identify and establish priorities, work independently, and exercise sound judgment related to providing support and assistance.
- Experience working with USAID-funded programs preferred.
- Ability to identify problems in a timely manner, make recommendations toward solving problems, and work well in group problem solving situations.
- Ability to work in a dynamic team, as well as an ability to carry out tasks independently. Ability to establish effective working relationships with employees at all levels of the organization.
- Excellent time management and organizational skills are required. Thorough knowledge and experience in building office systems, filing systems, and general office procedures preferred.
- Possess outstanding interpersonal communication skills which must be effective and courteous, requiring high integrity when dealing with a broad array of cultures and languages
- Proficient in the use of the full Microsoft Office products including Word, Excel, Outlook, and PowerPoint.
