Position Title: Reporting and Documentation Officer
Reporting to: Monitoring and Evaluation Manager
Job Location: Headquarters – Nairobi.
Overall Purpose
Responsible to the M&E Manager for overall reporting and documentation of KRCS programmes in line with the M&E framework and donor requirements.
The incumbent will ensure quality reports are generated from the field level to HQ and ensure results-based reporting to donors and partners, and to document the organisation’s best practices and lessons learnt, in order to enhance organisational learning with a view of strengthening KRCS’ results oriented management.

Duties and Responsibilities
- Develop and revise reporting and documentation tools to record programme achievements, results and document best practices and lessons learnt.
- Ensure timely preparation of progress reports in accordance with organisational and donor requirements to demonstrate impact of KRCS activities on beneficiaries as per logical framework.
- Support the M&E Unit in enhancing knowledge on Results Based Monitoring and Evaluation Reporting (RBMER) with an aim of strengthening results-based reporting and adherence to donor requirements.
- Support programmes in the documentation of best practices and lessons learnt to enhance knowledge management or organisational learning and ultimately improve programme implementation.
- Participate in forums for exchange and learning from evaluation or survey findings through M&E presentations in seminars, conferences, workshops and publications including annual reports and follow-ups on M&E policies and practices.
- Improve knowledge management by disseminating programme reports, publish best practices and lessons learnt documents - internally and externally, to relevant stakeholders and through e-forums (website and internal resource centre).
- Develop strategies for strengthening collaborative partnerships and networks with stakeholders and donors to ensure statutory compliance to donor reporting and documentation requirements.
- Represent KRCS at meetings, conferences and workshops and other forums to promote and articulate issues related to the M&E of humanitarian relief.
- Prepare periodic progress reports and annual reports showing achievements of the Reporting function.
Minimum qualifications
- Bachelor of Arts Degree in Journalism or Communications, Diploma or Certificate in Project Design, Planning and or M&E. A Masters Degree would be an added advantage.
Key Competencies
- Excellent written and oral communication, organisation, presentation and analytical skills and ability to pay attention to detail, strict deadlines, and working with little supervision.
- Good Knowledge and demonstrated expertise on the Project Cycle, M&E and Results Based Reporting in a complex organisation dealing with developmental work.
- Ability to maintain high standards of personal integrity, establishing productive relationships, treating all individuals and partners with fairness and respect and demonstrating sensitivity for ethnic, cultural and gender difference.
- Demonstrated experience in documentation and publication of best practices and lesson learnt.
- A Strong background on archiving and retrieval of documents is essential.
