Responsibilities:
The PA is responsible for providing administrative support to the staff of the East Africa (EA) region, ensuring smooth and timely flow of work to include, but are not limited to the following:
- Provide dynamic and proactive administrative support to the Regional Director and Program Managers in managing schedules, scheduling meetings, tracking and reconciling AMEX activity and business communications expenses, other administrative support as requested
- Provide financial oversight of the East Africa OH and RDUF budgets by performing quarterly ASR reviews and taking corrective action as necessary
- Review and process vendor and consultant invoices generated both through DC and the country offices via the Lawson financial system. Interact with appropriate departmental staff to solve any issues that may arise
- Manage the EA Administrative email inbox and ensure that all requests are addressed in a timely manner and followed through to completion and maintain the EA KIX page
- Serve as the key process owner in ensuring that International Staff submit their timesheets in a timely manner, with all required information and provide timely follow-up with International Staff to ensure that the PSI payroll schedule is respected
- Process departmental (non-project specific) invoices
- Organize departmental events such as: department meetings, retreats, team building activities, etc. Organizing responsibilities include but are not limited to ' selecting and securing a venue, coordinating departmental schedules, liaising with appropriate staff to develop an agenda, etc.
- Assist with travel arrangements for EA/H staff including: helping to secure visas for urgent travel, making hotel reservations and airport pick-up for visitors to D.C.
- Maintaining the existing departmental information management system of filing, classifying, and tracking country-specific documentation and design innovative ways to manage knowledge and information tracking needs, including compilation of selected metrics
- Assist with scanning, printing, copying and faxing needs and assist department staff with incoming and outgoing mail services
- Other duties as assigned
Experience:
- Bachelor's degree
- At least one year experience working in a fast paced office environment
- Experience living outside the United States and in multicultural environments
- Advanced computer skills (MS Office applications, including Word, Excel and PowerPoint)
- Excellent organizational and administrative skills with special attention to detail and timeliness
- Proven ability to develop routines to manage large workloads and organize work efficiently
- Readiness to interact with a variety of people and assume diverse duties and tasks
Successful candidates will be customer service oriented, exhibit excellent communication and interpersonal skills; have proven problem solving ability; be able to work efficiently and quickly under pressure; be able to prioritize and perform multiple tasks; and have the ability to work with minimal supervision and follow through on assignments. Preference will be given to candidates with a demonstrated interest in international health and development issues.
