The United Nations Development Programme (UNDP) invites internal and external applications form suitable qualified candidates to fill the post of Administrative/Finance Clerk in Kampala. Under the guidance and supervision of the UN Clinic Physician, the Administrative/Finance Clerk provides telephone and general reception and information services ensuring high quality and accuracy of work. The Administrative/Finance Clerk promotes a client, quality and results-oriented approach. The Administrative/Finance Clerk works in close collaboration with the UNDP Operations staff and other UN agencies staff to exchange information and ensure consistent service delivery. |
Duties and Responsibilities |
Provide Administrative Support: - Ensure medical records are orderly and all files accounted for.
- Maintain information/data in the system. Arrange for regular maintenance and repair of telephone service.
- Manage and plan front desk coverage.
- Maintain record of assets, stationery and supplies.
- Provide clerical and medical reports including data management.
- Review data for accuracy and completeness.
- Carry out other duties as directed by the UN-Physician.
Ensure the most updated UN staff and other contacts information, focusing on achievement of the following results: - Collect and update of UN staff and dependants data on a monthly and quarterly basis. Ensure all data and information is correct and accurate.
- Update list of hospitals, clinics and other important contacts for UN-Clinic.
Work in close collaboration with Finance Unit: - Assist in gathering data for the preparation of the UN common/shared budget.
- Assist in the management/monitoring of UN clinic Common/shared budget.
- Assist in preparation/dispatch and follow-up of invoices to UN agencies for early payment or contribution of the common/shared budget.
- Follow-up on payment of invoices and inform payees on the status of the payments.
- Prepare financial summaries of the UN Dispensary budget performance as and when required for management information and decision making.

Required Skills and Experience |
Education: - Secondary education.
- Diploma in information Technology or Information Systems or Computer Science.
Experience: - Minimum 2 to 3 years of relevant experience.
- Highly proficient in Microsoft Word, Excel and Access.
Language: - Fluency in English in required.
- Knowledge of Swahili and Luganda is an added advantage.
