Supplies Officer (Job Ref: 50/07/15)
Position summary
The Supplies Officer is responsible for effective maintenance of the stores items, supplies and inventories. The position holder is also charged with ensuring regular availability of the supplies for usage by the right person and the right place.
Reporting Requirement
The Supplies Officer shall report to the Procurement Manager
Key responsibilities will include:
Performing warehouse activities to include, supply and delivery of materials, supplies and equipment to water works sites, or any other designated area as per the organisation directives;
Arranging labour for loading and unloading, tag and survey stock items;
Maintaining and updating inventory records on daily basis;
Measuring, counting and weighing all bulk materials; steels, water pipes and parts related to water works.
Operating a variety of stock keeping equipment, including material handling equipment in safe and effective manner.
Putting in stock and recording all unconsumed inventories from contractors and stocks and inventories remaining from accomplished water projects.
Receiving and inspecting deliveries of stock;
Verifying quantity and quality of material and stocking them in the right place, ensuring accuracy of data records of all materials received and issued and generating computer reports;
Verifying the supply bills, delivery documents comparing them with purchase orders, recording all received materials and issuing receipt notes;
Updating of all other reports and registering bulk materials, consumables fixed assets, and construction accessories;
Monitoring inventory levels to assure availability of buffers stock and reconciles physical stock and inventory against issue/receipt notes and computer balance to correct errors;
Receiving items for disposal, inspecting their condition, recording damage and indicating their model and quantity;
Estimating time, materials and equipment required for jobs assigned and preparing requisition materials as required;
Performing operations, services and activities related to stocking of all the organization materials, equipment. tools and inventory control through computerized inventory system;
Issuing materials as per material requisition/issue note and entering the issued materials in the outwards register after necessary approvals;
Recording all entries of materials movement in the same day; and
Carrying out periodical physical verification of stocks and reporting the difference.
Key Qualifications
Bachelor' degree in Procurement or Supplies Management
Registered as a Certified Procurement and Supplies Professional with the Procurement and Supplies Professionals and Technicians Board (PSPTB)
Five (5) years post qualification experience in the area of procurement and supplies management.
Required Attributes
Self-motivated, team player, interpersonal skills, integrity, result oriented.
Proficiency in Microsoft applications
