The International Institute of Tropical Agriculture (IITA) is a member of a world-wide network of International Agricultural Research Centers. IITA's research focuses on smallholder cropping systems in sub-Saharan Africa. IITA has a regional hub in Dar es Salaam, Tanzania which co-ordinates the work of the institute in East Africa.
To support this work, IITA is looking for a Program Administrator. This position is required to support the IlTA banana project that will be based at the IITA Office at the Nelson Mandela African Institution of Science and Technology (NMAIST) in Kijenge, Arusha.
Responsibilities
The Program Administrator will perform the following duties, among others:
Work with PAO (Project Administration Office) in HQ to develop partner contracts/sub-grants in line with donor grant agreements.
Follow up with Project Work Package Leaders to ensure reports are submitted in a timely manner.
Follow up with HQ to ensure that project partner payments are executed in a timely manner.
Assist in compiling and reviewing reports for submission to donors while complying with donor reporting templates.
Follow up with the Program Accountant to ensure that project reports are done in a timely manner and expenditures are a reflection of approved project budget line items.
Monitor closely project execution and provide feedback to the Project Work Package Leaders on the status of projects, advising on action to be taken with regard to project extensions, budget reallocations and any other action. _ __ _
Liaise with HQ on policy issues relating to project grants management and ensure compliance by Program staff.
Assume responsibility for other program functions such as planning meetings and drafting reports.
Continuous monitoring of program activities (action points, communication plans and annual hub plans) and support preparation of annual reports and progress updates as requested.
Develop and maintain an efficient filing system and databases for print and electronic files/ documents on Program activities and projects.
Overview and handle accounting, administrative and logistical issues in relation to all banana projects managed by the office in Arusha
Any other duties related to project management and program support as may be determined by the Project Leader.
Required Qualifications / Experience
The candidate should have a M.Sc in Project Management with 2 years experience or a BSc in
Project-Management with 5 years experience at a similar position.
Must be able to work independently with minimal supervision, but also participate as a team
in accomplishment of duties.
Knowledge of basic accounting will be an added advantage
Strong attention to detail and maintaining a timely and efficient work flow.
A positive attitude and strong administrative service orientation.
Possess excellent interpersonal and communication skills, good judgment and a high level of
respect for confidentiality.
Ability to work in a multi-cultural environment.
Excellent communication, interpersonal and reporting skills;
The ability to work independently and as a team member;
Commitment to IlTA's mission and core values.
