Overall Purpose of the Job
The Operations Officer will be tasked with facilitating all transport and travel needs of the office staff, and monitoring of field movements. The Operations Officer will also support the local operation of the office, including maintaining assets lists, driver and fuel log books, scheduling water deliveries, generator maintenance etc. The position will demand a highly motivated, detailed oriented individual who will be able to solve challenges as they arise. He/she will be required to improve current systems from knowledge and experienced gained through at least 2 years experience in this area.
Person Specification - required knowledge, skills and experience
• Should be able to demonstrate skills of o Managing supplies.
o Team support
o Vehicle maintenance and management o Communications
o Good Juba contacts
• At least 2 years of Logistics experience ideally with non-governmental organisations within Humanitarian and development programmes.
• Fluency in written and spoken English and Simple Arabic.
• Creative thinking and the ability to find solutions and execute them.
• Extensive experience and knowledge in ensuring systems are in place and appropriate tools and reporting formats are developed and used.
• Proven ability to manage multiple priorities at the same time.
• Strong team player; able to work effectively under pressure and demonstrate patience to team members
Main Duties
• To work closely with the Senior Operations Officer and Finance Officer to ensure that BBC Media Action programme is cost effective, efficient and complies with the organisational standards of management and accountability. To ensure that all Logistic systems are implemented and programmes support functions are reviewed and improve where as required.
• To take responsibility for management of supplies and procurement while following the standard of BBC logistic guidelines. This includes requisition, local purchase, transport, warehousing (including storage and stock control systems) and the issuing of supplies.
• Making assessment of the logistic needs and issues for new project ( cost, etc)
• Maintaining the asset database, tagging and registration.
• Ensure that all drivers are properly licensed and vehicles have first aid kits, maintenance tools, contact numbers and BBC Media Action branding.
• Train and supervise compound support staff.
• Regular fuel consumption report and monthly vehicle utilization analysis
• Maintain vehicles and generator records and plan for maintenance schedules
• To manage the overall direction of logistic in Juba office and field areas.
