Objectives of the assignment
Under the direct supervision of the Program Manager the Project Assistant will support the MERT/MCI activities with particular attention to:
Support of drafting of operational docs, project reports, meeting briefs and follow-up on pending issues which include procurement, admin, travel, related to the Mert/MCI (Exmed) Project Take notes and prepare minutes derived from and for meetings for the project related counterparts. Support the preparation of briefing materials for appointments, meetings and project related missions for the DCSA. Support the oversight and monitor Exmed Project budget providing briefs and updates to the DCSA on regular basis. Type, copy and/or distribute a range of material related to, finance, budgetary or administrative matter for DCSA’s signature Handles project related requests for office and field as directed by the Supervisor. Scope of work
Provide basic reporting on the progress of expenditure and financial updated reports, summarizing updates in regards to project implementation within the contract period. Provide check-lists and other documentation (e.g. procurement plan and LOA, PO) in support of the project implementation activities. Maintain an updated inventory and project related operational expenses for review by the Programme Manager Monitoring and Progress controls
The contractor will work under the overall supervision of the DCSA and in close consultation with the Finance and the Administrative. Work Guidance will be provided on a daily basis against the project operations. The Contractor will work on a full time basis reporting directly to the Supervisor, and against a duly filled in Contractors timesheet.
Final product/deliverable
At the end of the assignment, the contractor shall produce the following outputs: Project Financial reports A detailed and up to date project Assets inventory report Project progress report on the project activities Review/approval time The performance of the contractor will be reviewed on completion of the outputs prior to authorization of payments. Qualifications
Completion of Secondary Education, preferably with specialized certification in Administration, Management, Secretarial, Accounting and or Finance. University Degree in Business or Public Administration, Economics, Political Sciences and Social Sciences would be desirable, but is not a requirement. 5 yeas of relevant experience in administration or programme support service. Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems. Work experience within the UN or INGO is an asset but not a prerequisite. Fluency in English, good written and oral skills
Terms of Service
This is a non-staff contract under the Individual Contract (IC) modality of hiring of the UNDP. Individuals engaged under an IC serve in their individual capacity and not as representative of a Government Institutions, corporate body or other authority external to UNDP. The incumbent shall not be considered as staff of UNDP, the UN common system or the government and are therefore not Entitled to any diplomatic privileges or any other special status or conditions.
Based on the outcome of the competitive process. The incumbent will be engaged on an IC contract on a full time basis payable on days worked basis for a 3 month period.
