PROCUREMENT OFFICER: (1 Vacant Post)
Appointing Authority: Management Committee.
Reports To: Head of Procurement Management Unit
Minimum Required Qualifications and Experience:
The successful applicant must be / have:
•    Holder of Degree or Advanced Diploma in Materials management or its equivalent issued from recognized institution.
•    Registered with the PSPTB, as Approved / Authorized Supplies Professional with relevant experience of at least three years in a reputable institution.
•    Computer skills are essential.
Employment Terms: Three years Contract - Renewable upon satisfactorily performance.

Main Duties & Responsibilities:
•    Counter checks stocks purchase invoices before they are forwarded for payment.
•    Scrutinizes recommendations for changes in stock levels, and for disposal of obsolete items.
•     Preparations of legal conditions for stocks purchase contracts.
•    Constantly reviews for approval procurement policy and procedures with a view towards improving efficiency.
•    Prepares documents for stocks purchase orders after obtaining due authority for stocks ordering.
•    Obtaining quotations for goods and services after approval for procurement has been obtained.
•     Evaluating stocks purchasing bids and recommending to the Tender Committee for award of purchase contract.
•    Ensure that approved stocks purchase modus operandi is properly followed.
•    Ensures that procurement procedures and practice are in line with those approved by the National Board for Materials Management.
•    Maintaining harmonious relations and making negotiations with suppliers/suppliers representatives.
•    Perform any other procurement duties as may be assigned by the Head of Procurement Management Unit.

Main Duties & Responsibilities:
•    Head of section responsible for administrative issues and responsible for efficient receiving, inspection, storage and issue of right materials of the right quality at the right time to respective users.
•     Recommends to the users standards and procedures for the acquisition, storage and issue of all materials and services required for the proper operations and maintenance of the UWSA systems.
•    Communicates information on new materials and shipment techniques to user department/sections.
•    Supervises implementation of stores procedures and documentation.
•     Carries out periodic inspections and stocktaking of materials and supplies.
•    Ensures efficient safe and economical storage of materials and supplies in store and stockyards.
•    Ensures that annual stocktaking of all materials, movable non-current assets and immovable noncurrent assets is carried out.
•    Prepares replies to audit queries relating to materials, supplies and storekeeping.
•    Ensures proper evaluation of materials and non-current assets.
•    Recommends to management economical stock purchase quantities, re-order levels, re-order time and effective system of stock control.
•     Conducts open performance review and appraisal of subordinates and gives feedback.
•    Develops individual performance objectives, targets and standards in consultation with the immediate superior as part of the individual performance agreement.
•    Performs any other duties as may be assigned by the Finance Manager.

•    Plus Ordinary Diploma in Secretarial Studies (DSS) or equivalent qualifications.

Main Duties & Responsibilities:
•    He / She is the Office Administrator of the Managing Director office.
•    Perform all secretarial duties including up-keep of diary and appointments for the Managing Director.
•    Handling internal and external incoming mail marked for personal attention of the Managing
Director, files and distributing them ensuring proper maintenance degree of secrecy and confidentiality .
•    Receiving and answering routine correspondences, such as acknowledgements, on their own initiative without supervision.
•    Follows-up outstanding correspondences and or replies.
•    Keeping a record of files for action by the Managing Director.
•    Organizing and facilitating meetings of the Managing Director to promote a favorable working environment.
•    Responding to routine questions on the telephone, takes messages and forwards the messages to appropriate intended recipients.
•    Managing the office arrangement and cleanliness to ensure a favorable working environment.
•    Maintaining appointments and priorities of calls and visits to the Managing Director.
•    Receiving office visitors and directing them to the relevant offices.
•    Requesting for adequate office supplies for the office.
•    Performing any other duties related to the above assigned by Human Resources and Administration Manager

Main Duties & Responsibilities:
•    Daily making clearly visible of theft, damage, personal injury, and other illegally signs / acts.
•    Perform security duties by watching out for any strange thing that may mean hanm. For this reason, he/she must have very keen senses of sight, hearing, smell and others
•    Patrol and keep watching of suspicious persons and activities so as to safeguard the
organization's property against theft, burglary, trespass, during day and night.
•    Take action to prevent disturbances.
•    Make periodic inspection around buildings and ground examining doors, windows and gates that they are properly. secured.
•    Read the safety and security reports of the Security Company and prepare day and night reports about security position and handle it to the Head of Section.
•    Report to management and police any incidences of theft, trespass or any illegal entry.
•    Perform any other related duties as may be assigned by the Head of Section.
•    Perform any other related duties as may be assigned by the Managing Director.

•    Attending internal and external meetings and conferences to facilitate comprehensive public information and enhance positive understanding of AUWSA to her publics.
•    Organizing and conducting press interviews news conferences l or CEO and other top management officials.
•    Organizing and coordinating all official visits and meetings of donors, government leaders and Board members.
•    Preparing progress and annual reports and publication of the same.
•    Designing and coordinating outreach programs relevant to corporate policies and strategic plan.
•    Organizing corporate events and arrange PR activities in connection with significant events exhibitions, open days and official tours.
•    Designing and preparing in house newsletter, corporate identity and other forms of house style
•    Maintaining good relations with media organizations and other personnel; especially editors, reporters and columnists.
•    Conducting formal research in order to obtain information that is vital for planning PR programs and activities.
•    Participating in the formulation of organizational missions, poliCies and goals.
•    Advising management on matters concerning organizations' relationships with their various publics.
•    Managing all protocol services of the Authority.
