The United Nations Children's Fund (UNICEF) is seeking to recruit a qualified, motivated and experienced Program Assistant who will assist the programme staff in the section in information gathering, preparation of administrative and financial reports, logistics, administration, and monitoring in support of programme activities
Responsibilities:
Monitors requisitions, obligations and expenditures; donor report schedules, DCTs and PBAs; collects and organizes the information on these and regularly uses computerized financial system to generate updated status reports on programme implementation, outstanding advances, expenditure and other related information on programme implementation. Prepares routine correspondence on cash and supply assistance externally with Government Partners / Institutions, and internally with Operations and other programme sections
Scrutinizes exchange of letters with partners, requisition, reimbursement and liquidation documents on the basis of approved project documents, and in conformity with established UNICEF financial procedures.
In consultation with supervisor/s undertakes field visits to follow up with relevant partners to conduct spot checks of financial documents and practices. Undertake preparation/processing of cash, supply, service and travel programme documents. Contributes to the preparation of reports, programme documents and submissions to government by providing information, preparing relevant tables and drafting routine sections.
Maintain and update information and statistical data on assigned programme/project in consultation with the Specialist for easy retrieval and use for the Annual Report, Progress Report, Donor proposals, Donor reports, and other reports/documents. Participates in briefing and orientation of programme staff on administrative and financial work processes and procedures.
Provides general office support to the Health and Nutrition Section undertake to arrange appointments, maintain a proper filing and indexing system of all correspondence, administrative directives, policy documents and instructions. Organizes meetings/workshops including support in preparation and distribution of related documents; and provides support for external visitors to the section.
Education:
Completion of secondary school education, preferably with additional technical or university training in fields related to the functional area, including relevant computer skills in Windows-based software office automation
Work Experience:
Minimum 6 years of progressively responsible practical experience in administrative work, of which at least one year is related to support of programme activities
Language:
Fluency in English and Kiswahili
