Administrative Officer

The International Institute of Tropical Agriculture (UTA) is a member of a world-wide network of International Agricultural Research Centers. IITA's research focuses on smallholder cropping systems in sub-Saharan Africa. IITA has a regional hub in Dar es Salaam, Tanzania which co-ordinates the work of the institute in Eastern Africa.
To support this work, UTA is looking for an Administrative Officer. This position is required to support the UTA Africa RISING - East and Southern Africa (ESA) Project at the IITA offices at A VRDC in Arusha.
Responsibilities
Manage the day-to-day operational and administrative activities of the office
Liaise with the hosting organization A VRDC as needed for specific concerns
Purchase locally goods and supplies required for the project in coordination with UTA regional office in Dar es Salaam
Supervise project administrative staff based in Arusha
Monitoring of maintenance requirements for project vehicles, office and field equipment
Assist and advise the Africa RISING Project Coordinator(s) and scientists in administrative matters pertaining to the ESA Project Office
Facilitate visits to project sites by the donor(s), Project Coordinator(s), national and international project partners, and other official visitors
Organize project staffs' local and international travel
Facilitate organization of project meetings and workshops
Support the financial management of the project in collaboration with the IITA accounting office in Dar es Salaam
Perform any other official duties assigned
Required Qualifications / Experience
The candidate should have a Bachelor's Degree in Business Administration or related with 3 years' experience in a similar position.
Must be able to work independently with minimal supervision, but also participate as a team member in accomplishment of duties.
Proficiency in MS Office package.
Knowledge of basic accounting will be an added advantage
Strong attention to detail and maintaining a timely and efficient work flow.
A positive attitude and strong administrative service orientation.
Possess excellent interpersonal, communication and reporting skills in English, good judgment and a high level of respect for confidentiality.
Ability to work in a multi-cultural environment.
Ability and willingness to work under time pressure.
Commitment to IITA's mission and core values.
General information:
The initial contract for the position is for two years: renewable subject to performance and availability of funds. The duty station for the position will be UTA in Arusha at A VRDC. This is a nationally recruited position and lITA offers a competitive remuneration package.
