Job Description (Duties):
Our client Access Bank is a leading Finance Institution in Rwanda and is seeking to recruit result driven and motivated individuals for the Vacancy below;
Job objectiveTo provide administrative, marketing, operational support, qualitative service, good time keeping and be able to recognize priorities
Duties and Responsibilities:
- Ensuring the quality of the Secretariat
- Schedule appointments
- Receive calls for the Managing Director
- Take messages, receive and send mail from the Managing Director
- Prepare and send correspondence
- Operate and adjust databases on the Managing Director’s office
- Organise meetings of the Managing Director plus preparing and sending invitations
- Manage invitations to internal and external meetings plus preparing and sending the agenda to the participants. (Prepare and organize meetings Executively)
- Design and format media meetings
- Prepare and disseminate Minutes of meetings
- Organize and manage business trips and travels of the managing Director
- Dealing with formalities for obtaining visas, hotel reservations
- Organize the reception of foreign partners or other visitor
- Monitor the Implementation of reception procedures and their update
- Participation in monitoring the actions of the bank (anticipate needs)
- Take part in the development of various procedures with the departments concerned and make a report to the Managing Director
- Support the Managing Director within the gars of knowledge and understanding of missions, goals and values of the Bank by staff
- Support Branch in monitoring compliance procedures
- Check the consistency of the information (intranet, website, presentation, brochures, annual reports)
- Participate in the preparation of annual events
- Provide the necessary support to the preparation and launching
Necessary Qualifications:
- Bachelor degree
- At least 3 years experience in a related role
- Computer skills (MS Word, Excel and power point)
- Good management and administrative capabilities
- Language skills (English ,French and Kinyarwanda)
- Good analytical Skills/ Problem solving
- Must be responsible and able to coordinate different activities
- Ability to work as a team
- Must have the ability to manage the confidentiality of information and data
- Must be Rwandan
