The World Food Programme is the world's largest humanitarian agency, fighting hunger worldwide. We are currently seeking to fill the position of Chief, Translation and Documentation Branch at P5 level, which will be based at our Headquarters in Rome, Italy.
The Translation and Documentation Branch is responsible for the editing and translation of WFP official documentation and publications, official correspondence with Permanent Representations, and preparation of supporting documentation for Board sessions and other meetings.
Under the direct supervision and guidance of the Secretary to the Executive Board, the Chief will be responsible for the following duties:
- Management of the Translation and Documentation Branch
- Maintain and develop procedures, establish work plans and priorities, supervise production schedules and review outputs of all groups of the Branch;
- Provide guidance to staff, including in the field of linguistics, and set standards for translation quality assurance; build consensus on work procedures and practices and ensure implementation;
- Determine workload and temporary staffing levels, ensuring that workforce expands adequately in peak periods;
- Supervise staff and assess their performance; organize and participate in recruitment, assess training needs and oversee staff training;
- Monitor the budget of the unit to ensure that commitments and expenditures are kept within allocated budget.
- Appropriate interaction with other WFP departments and with the Executive Board
- Plan production of Board documents together with senior management and authors concerned and other UN bodies/committees;
- Ensure Board documents are available on time and meet required quality standards;
- Coordinate planning and implementation of the programme of work of the Executive Board, including inputs from all HQ departments and decentralized Regional Bureaux; prepare Board session agendas;
- Be in charge of Board reporting, including monitoring of deliberations of the Board to ensure that debates are properly reflected in Board reports and that politically sensitive issues have been adequately dealt with; brief rapporteurs; participate in Executive Board Bureau meetings;
- Prepare Notes for the President of the Executive Board at Board sessions;
- Draft Board documents as required.
- Advise Director on complex or delicate issues, including those of a political nature; ensure that issues of concern to the Service's areas of responsibility are followed-up adequately.
Qualifications & Experience Required
Education:
- Advanced university degree in Translation, Linguistic Studies, Languages, Business Administration or other related fields.
Experience:
- At least 11 years (of which 4 years in an international organization) of postgraduate professional experience in translation or other relevant areas;
- Experience of conference work related to the Governing Body of an international organization is considered a plus.
Technical Skills & Knowledge:
- Expertise to audit quality of translations at all levels of complexity and in all areas of WFP specialty;
- Knowledge of the translation industry and translation memory tools;
- Knowledge of the Rules and Regulations of the Governing Body of an international organization is an asset.
Competencies:
- Managerial ability to lead the work of the team, ensuring in particular that it stays organized and focused;
- Good judgement and analytical skills leading to sound decision making – gather inputs, assess risks, consider impact and articulate benefits of decisions;
- Strong planning and organizational skills – ability to coordinate timely production of Governing Body documentation;
- Results-oriented – identify what is needed to obtain results involving various stakeholders and find solutions to problems affecting key deliverables;
- Strong communication skills - ability to effectively communicate technical guidance to staff and management on a wide range of issues and to interact effectively with colleagues and clients alike.
Language:
- Excellent knowledge of both English and French or Spanish and proficiency in one of the other languages of the Board (Arabic, French, Spanish).
Special Notice: Mobility is and continues to be a core contractual requirement in WFP. This position is however currently classified as “non-rotational” which means the incumbent shall not be subject to the regular reassignment process unless the position is re-designated as rotational or the incumbent applies and is reassigned to a rotational position.
Terms and Conditions Selected candidates will be employed on a fixed-term contract with a probationary period of one year.
