THPS is an indigenous NGO established under nongovernmental organization act No 24 0f 2002 as part of partnership framework implementation plan between the USG and the Government of Tanzania which calls for an uninterrupted transition of PEPFAR funded HIV and AIDS programs into local entities. THPS works in partnership with the Ministries of Health and Social Welfare in Tanzania (MoHSW) and Regional Administration and local government (PMORALG) with a goal of ensuring accessible high quality health care services to Tanzanian’s through establishment and strengthening of comprehensive family focused HIV/AIDS Prevention, Care and Treatment services. This is a continuation of the PEPFAR funded broader US Government HIV/AIDS initiatives through Centres for Disease Control Tanzania (CDC) in Tanzania. As CDC prime awardee; THPS is currently seeking highly experienced, committed and motivated Tanzanians to fill in the following positions in Dar es Salaam, Mtwara, Kigoma and Zanzibar Offices: REPORTS TO: Program Manager Zanzibar, Administration Officer – Central (30%) OVERALL JOB FUNCTION: To organise and supervise administrative activities that facilitate smooth running of the Zanzibar Team. The incumbent will be rresponsible for the Zanzibar office management and control of office supplies and oversees proper running of utilities for the building such as electricity water and proper function of telephone lines. S/He will ensure office access policies are implemented and adhered to by all staff and all visitors to THPS office are well received
Qualification:
KEY DUTIES AND RESPONSIBILITIES:
• To oversee the use and maintenance of the office equipment including the photocopier, fax, binding machine to ensure that they are in working order and arrange for their repair and maintenance as needed.
• Manages the cleaning of the office and the surroundings
Ensures office, store rooms are well organized
• Organizes for receipt and delivery of mail / sends and receives faxes.
• Assists with Travel arrangements for regional office staff as needed.
• Liaises with Landlord and repairmen to ensure property is well-maintained
• Assist with the co-ordination of other office events such as meetings, staff re-treat, launching etc.
• Preparing administration and program purchase requisitions.
• Ensuring goods are kept and distributed as planned.
• Receiving THPS purchased items.
• Filling documents i .e purchase orders and delivery notes.
• Ensures visitors are greeted and welcome
• Liaise with Support Services Manager on IT issues
• Ensures Internet is up and running with a minimum of 1% downtime.
• Ensure vehicle usage and fuel log reports are properly completed, approved, and sent to THPS HQ office on a monthly basis.
• Inventory control and reporting for Regional Office Furniture and Equipment.
• Manage and organize trainings and recording
• Perform any other duties as directed by supervisor
QUALIFICATIONSAND EXPERIENCE:
• The candidate must hold a Degree in Business Administration/Management, Corporate Management or any related discipline
• Minimum of three years working experience in a similar role.
• Working in HIV/AIDS is an added advantage
