Duties and Responsibilities
Project administration for all projects assigned 'This entails:
typing of correspondence/documents
Dispatching the same either by email or by fax.
ensure post/hand delivery has been done.
Filing and retrieval of correspondence/documents
Read email correspondence for all the projects, sorting them to projects folders and determine what needs printing for file records
Taking and typing minutes for meetings as required Archiving projects as they are completed - this includes recording the files/documents, storing in data base and indexing for storage.
Co-ordinate retrieval of archived /stored documents. Receive and make telephone calls required
Take messages and distribute as necessary to project staff Taking copies and assist in binding documents
Assist in preparation of Proposals and Expressions of Interests
Any other duties assigned
Education/Skills and Competences required
Secondary Education - Form VI or higher with passes in Languages
Secretarial Training (Advanced Diploma Certificate) Computer Literacy in Spreadsheets and English Language Proficiency
Training in administration and basic office management skills
Training in basic library / archive management
Relevant experience, above 4 yrs
Customer Care and Public Relations Skills Self motivated planning and organization skills
