The Job
The Office Support Assistant will serve as a key member of the IPA-K research project entitled the “Kenya Life Panel Survey”.
He/she will be responsible for functions associated with general project management including but not limited to general office administration tasks, data entry, procurement, logistics and human resources assistance.
We are looking for two Office Support Assistants: One to fill a position in Busia and one in Nairobi.
Tasks, Duties and Responsibilities
Key Responsibilities:
- Complete general office tasks and ensure proper functioning of project office;
- Take lead role in recording project activities;
- Ensure proper management and storage of project documents and equipment;
- Assist in data entry related to project activities;
- Secure appointments for surveys by reaching out to project respondents by phone;
- Assist project leaders in the procurement of goods and or documents, including sourcing for quotations, purchasing of the office supplies and verifying the delivery of goods;
- Receive vehicle requests from project leaders and liaise with the logistics officer to ensure that vehicles are assigned to projects as required;
- Assist project leaders in survey management by compiling field officer activity records and cross-checking this information with project records;
- When needed, travel in field with project team;
- Other functions as may be specified in the JD.
Note: this position is office based, but has the potential to grow into both an office and field based position if the right candidate is available and interested. Field activities would include, but are not limited, to data collection and survey administration.
Qualifications:
Required
- University Degree / Diploma in Business / Office Administration or any related social sciences;
- At least one year working experience in a national or international NGO in an administrative capacity;
- Demonstrate ability in Microsoft office computer packages;
- Organized, strong attention to detail, efficient and capable of handling detailed work assignments;
- Positive and professional attitude; team player.
General Skills/Interest required:
- Excellent writing and communications skills; great attention to detail.
- Ability to work independently, make decisions without close supervision; self-motivated person.
- Interest in development-related research projects.
