The position will assist both in programmatic and office administration aspects of Heifer International’s Washington DC office. Programmatic functions include assisting and contributing to the development of resources from institutional donors such as bilateral agencies, multilateral agencies, and host governments; policy analysis and tracking of resources for international development, and partnership building, among others. Administrative functions include overall office logistics management, representation and day to day administrative support to DC-based Institutional Business Development (IBD) team. This position will report to the Managing Senior Director and will work with the rest of IBD team and similar positions across the International Programs Division, other divisions at Heifer International’s Headquarters in Little Rock, Ark., and country offices worldwide.
Responsibilities:
1. Assist in donor trend analysis for agriculture, food security and nutrition by gathering data and compiling information to facilitate IBD’s work.
2. Organize meetings with potential partners and institutional donors as needed.
3. Work with IBD team to establish and maintain directory of contacts of donors, partners and Embassies/delegations.
4. Serve as a point of coordination for preparing responses to institutional funding opportunities, including reviewing project proposals and concept papers.
5. Assist and contribute to the development and implementation of research and learning agenda in Heifer’s Theory of Change.
6. Assist and contribute to the review and development of country offices’ food security and nutrition strategies and programs and fundraising strategies.
7. Assist in preparation of pre-teaming and teaming agreements in consultation with legal service
8. Coordinate and contribute to the preparation of periodic narrative reports and communication with internal and external audiences as needed.
9. Gather, analyze and disseminate information and data on relevant subjects to support country offices to ensure compliance with donor policies and procedures, and other accountability standards.
10. Update country offices on procedures, policies, tools and other information related to institutional business development as needed.
11. Contribute to planning and preparation of annual budgets for the DC office.
12. Manage the overall logistics of Heifer DC office, including communication with the landlord and Headquarters Facilities team on office lease, and day-to-day administrative routines, such as office supplies, expense reports, handling mail, photocopying, faxing, and distributing reports.
13. Coordinate and/or facilitate scheduling arrangements for travel, meetings, conferences, training workshops, and prepare agendas, meeting minutes, and process expense reimbursement requests for DC-based IBD team.
14. Represent Heifer and the DC office to external partners by attending meetings, making presentations and other communications as asked by the Managing Senior Director.
15. Respond to written, oral and electronic inquiries with pre-approved information about IBD, DC office and Heifer’s work in genera in consultation with the Managing Senior Director.
16. Assist in coordination and/or preparing, proofreading and distributing published materials to COs (newsletters, in-house communications, etc.).
17. Represent IBD on in-house committees, taskforces and other meetings as requested by the Managing Senior Director.
18. May perform other job-related responsibilities as assigned by the Managing Senior Director.
Minimum Requirements:
Bachelor’s degree plus two (2) years of related experience.
OR
High school diploma/GED plus six (6) years of related experience.
Preferred Requirements:
• Master’s degree in international development or a related field with at least two (2) years of experience in international development with a focus on business development.
• At least five (5) years in similar role. Experience in policy, programmatic and administrative functions, experience in business development and partnership building, and exposure to developing countries is essential.
