The US Embassy is seeking an individual for the position of Administrative Assistant at the 0-rtited States Agency for International Development. This is a full-time Personal Services Contract position.
BASIC FUNCTION OF POSITION
As a key member of the 21-person USAID/Tanzania Office of Financial Management (OFM), the incumbent ensures overall performance indicators reflect well on the entire office team. The incumbent must be able to recognize the importance of the timely and accurate execution of duties/responsibilities to enable all staff to meet the commitments of the OFM.
Under the overall direction of the USAID Controller in Dar es Salaam, Tanzania, the USAID/Tanzania OFM is comprised of the following: 1) Financial Analysis Section; 2) Accounting Section and 3) Vouchering Section. This position, Administrative Assistant, receives day-to-day direction from all three teams and their staff members, and, thereby, serves as an intricate member of the three teams and OFM office in general. The direct supervisor is the Controller/ Deputy Controller, who is responsible for the incumbent's evaluation; however the incumbent will provide support to all of OFM.
The incumbent serves as the Administrative Assistant with responsibility for providing the full range of administrative management and finance. S/he is recognized as resident expert on all payroll issues; keeping OFM and Mission in general informed of current policies and procedures governing salaries to USDHs, USPSCs, and FSNs. Responsible for creating and implementing best practices to ensure that; in WebTAs, dates are accurate, approved on time and payments are made timely. The incumbent acts as head Time keeper ofWebTA system for Direct Hire, USPSC employees and FSN T&A, provide assistance and guidance to other 15 administrative assistants on WebTA issues. Ensuring the completion (and subsequent submission) of all USAID/Tanzania's time and attendance sheets. Also, familiar with general support services (i.e. travel, procurement, personnel, information management, etc.) and assistance to all OFM staff. The incumbent must be acquainted with all administrative support issues; keeping office members informed of current policies/procedures governing administrative support activities; and implementing best practices.
The incumbent is the first point of contact with USAID/Tanzania Mission Team members and customers of the OFM.
The position will be in support of a broad range of agency-funded activities implemented by the mission (OE and Program). This is done through mainly administrative support, records management, and liaison with other offices within USAID.
