Who we are
African Initiatives for Relief and Development (AIRD), is a non-political, non-religious and non-profit making African Non-governmental organization, established in 2006 with it's Head Office in Kampala, Uganda.
Our Vision
To see Africa that is free from poverty, internal displacement and refugees; a continent whose people are enjoying human dignity, gender equality, peace and democracy; a region that is capable of protecting the environment that nature had endowed to it and whose leaders are accountable to and working for their people.
Our Mission
To inspire and involve concerned citizens of the international communities and African professionals in relief and development programs to make meaningful contributions towards the development of Africa for the complete eradication of poverty; ensure the protection and assist in seeking durable solution for IDP’s and Refugees; promote human dignity and equity and achieve peace, democracy and environmental sustainability in Africa in particular and the world at large.
Our objectives
To improve the living conditions of refugees, Internally Displaced Persons (IDPs) and host communities. To make use of synergy effects that result from combining the respective aid instruments and To maximize effectiveness in significantly improving the situation of refugees in African countries. To promote protection and seek durable solutions for refugees and IDPs in Africa in partnership with key stakeholders as well as build capacity at grass root level.
Responsibilties
Operational Management
• Ensure operations receive timely, effective and efficient management, administrative, financial and logistical support services in order to meet project objectives. • Ensure management, administrative and logistical support systems and procedures are followed. • Line manage the support and administration team, ensuring individuals work effectively and productively. • Oversee cashbook entries and financial coding for the Field Office level, ensuring that financial procedures are followed and that payroll is issued. • Oversee as aspects of logistics, ensuring programme logistical procedures are adhered to and developed where necessary, in liaison with Sub Office Manager. • Ensure good communication and coordination between the support and administration team and the technical operational team.
Human Resources
• Carry out appraisals of line managed staff as per AIRD systems. • Responsible for support and administration staff selection, recruitment and disciplinary systems and procedures. • Assist in the process of national staff capacity building, identifying training needs and providing mentoring support where appropriate.
Reporting and Communications
• Ensure daily communication and coordination with the Sub Office Manager, participate in Sub Office meetings and coordinate Field Office management meetings and briefings. • Ensure timely and detailed production of AIRD programme internal reports as directed by the Sub Office Manager.
Representation
• Represent AIRD when dealing with local authorities, other organisations and NGOs within the Field Office area of operations. • Ensure all relevant parties are kept informed of AIRD activities as appropriate. • Support the Sub Office Manager in his/her Public Relations/Communications role
Donor and partner related activity
• Provide support to the Sub Office Manager in identifying and collecting information on possible future donors and funding opportunities to support AIRD activities. • Support the Sub Office Manager in creating and maintaining relationships with donors, partners and other parties as required. • Assist in the planning and hosting of programme visits by AIRD staff, donors and partner agencies.
Information Management
• Provide relevant materials, case studies, photographs, events and media contacts in line with AIRD’s corporate profile, identity and message as directed by the Sub Office Manager. • Establish appropriate internal reporting formats and ensure effective internal information flows.
Business Planning
• Contribute towards programme business plans and budgets as directed by the Sub Office Manager. • Support the Sub Office Manager as required in the planning and implementation of activities and events within the Field Office area. • Provide input into regular in-Sub Office management and programme development meetings. • Assist in the monitoring and evaluation of programme business plans and activities
General
• Work within the framework of AIRD’s core values, promoting its ethos and mission statement. • Work towards achieving departmental business plan objectives • Keep informed of AIRD activities. • Work as part of a team and liaise with other departments to ensure effective communications across the organisation. • Ensure familiarity with and adhere to all AIRD policies and procedures • Participate in meetings, networks, seminars and conferences where relevant and beneficial to AIRD and its mission and mandate. • Undertake and apply learning from appropriate training and development programmes. • Contribute to fundraising initiatives where appropriate. • Undertake any other duties appropriate to the post as may be required.
Qualification & Experience
• Degree in International Development or other relevant area of study, 6-8 years of international experience, including in emergency response and recovery following natural disaster as well as experience in assessment, program design, evaluation, training and support. • 6-8 years of international experience with INGO in logistics management, within a complex/large scale country programme and in emergency response/humanitarian environments. • Substantial experience in all technical areas of logistics operations including procurement, transport/distribution, warehousing and stock management, fleet management, asset management, communications, and security . • Experience of developing / implementing a complex international supply chain to support different types of programmes, and coordinating resources to meet the programme objectives • Experience of working in remote field bases with limited infrastructure. • Proven track-record in managing and supervising others in logistics, including training and capacity building. • Ability to synthesise and analyse complex information, and make clear, informed decisions. • Experience of advising and supporting others at all levels with logistics aspects of a programme, including strategic thinking and planning. • Ability to build relationships quickly with a wide range of people, both internally and externally. • Excellent planning, management and coordination skills, with the ability to organise a substantial workload comprised of complex, diverse tasks and responsibilities. • Strong communication (written and spoken), and interpersonal skills in English/French, with experience in managing multicultural teams. • Technical experience/training in specific areas of logistics. • Technical experience/knowledge in specific types of humanitarian intervention eg. Repatriation, Reintegration, Construction.. etc • Fluent in English and French (mandatory)
