Organizational Setting and Reporting
The post is located in the Public Information and Knowledge Management Division (PIKMD), Publications and Documentation Section (PDS)/ Documents Processing Unit (DPU). The incumbent will work under the general supervision of the Chief of the Publications and Documentation Section and the direct supervision of the Chief of Documents Processing Unit.
Responsibilities
Within delegated authority, the incumbent manages, supervises and coordinates the work of English, French and Arabic Editorial and Desktop Publishing assistants, and Editorial assistants, and ensures the quality control of processed documents in French and English (documents, reports, publications, letters or other material).
Duties include:
- Plans the text processing activities and takes appropriate action to ensure their smooth implementation, within strict time constraints;
- Builds the capacity of the Editorial and desktop publishing assistants;
- Initiates, plans, organizes, supervises and coordinates the day-to-day activities performed English/French/Arabic Editorial and desktop publishing assistants and Editorial assistants, within strict deadlines and frequently outside normal working hours, at night and on week-end;
- Keeps track of the workflow and initiates each stage of the workflow in the Documents, Conferences and Production Management System (DCPMS);
- Controls and improves the quality of all the final English and French translations;
- Keeps time for text processing staff members;
- Manages the equipment/office supplies, ensures the adequate provision of equipments and monitors the inventory of equipments/office supplies;
- Proofreads, formats and finalizes all the original English documents of the ECA Conferences/meetings;
- Takes direct dictation, from translators and revisers, of English and French translations, of declarations, speeches, resolutions, etc. for immediate circulation at meetings;
- Performs other related duties as required

- Knowledge of UN Editorial Manual, guidelines, United Nations terminology and editorial practices and rules of procedure of various organs.
- In-depth knowledge of all aspects of the work of the unit, including typographic standards.

Education
- High School Diploma required. Certificat d'aptitude professionnelle (CAP) in secretarial work or a Diploma from College of Commerce will be an advantage,.
- Must have passed the United Nations Administrative Support Assessment Test (ASAT).
Work Experience
- Ten years progressive experience in text processing or editorial and desktop publishing as they relate to publications and parliamentary documentations.
Languages
- English and French are the working languages of the United Nations Secretariat.
- For the post advertised, fluency in oral and written English or French is required.
- Knowledge of other UN language is an advantage.
Assessment Method
- A Competency-based interview and a written technical assessment method will be conducted as part of the recruitment process for this position.
