The General Secretariat directs all the administrative and financial aspects of the Union's activities, including the implementation of the provisions of the administrative regulations on operational questions, the dissemination of information on telecommunication matters for operational and other purposes, the provision of legal advice to the Bureaux of the Union and the departments of the General Secretariat, logistic support to the Union's activities including conferences, the coordination of the work of the Union with other international organizations, the dissemination of information to the Member States and Sector Members, press, corporate and individual users of telecommunications and the general public. Organization Unit: The TELECOM Secretariat has responsibility for the planning, organization and execution of all ITU Telecom world and regional telecommunication exhibitions and associated forums which are of considerable assistance in keeping the Member States and Sector Members informed of the latest advances in telecommunication techniques and in publicizing the possibilities of applying telecommunication science and technology for the benefit of all Members of the Union including the developing countries. Main Tasks and Responsibilities of the Internship | |
Within the Customer Experience Management (CEM) team, under the general direction of the CEM Team Leader and under the direct supervision of the CEM Programme Services Officers, the incumbent will be involved in one or more of the following activity areas for ITU Telecom World 2012. World 2012 takes place in Dubai, United Arab Emirates from 14 to 18 October 2012 and successful candidates may be required to travel to Dubai for the week for the event (to be confirmed): Research, create, update and maintain records in the Telecom database. Use the database to create distribution lists and reports, issue invitation and other correspondence. Respond to written, telephone and face-to-face enquires to assist high-level participants with registration , meetings and other participation issues. Liaise between clients to facilitate requests for bilateral meetings at the event. Facilitate logistics associated with meeting arrangements including coordination with service providers. Log bookings for scheduled meeting areas/rooms; send reminders to participants prior to meeting times; supervise the setup and well-functioning of the meeting areas. Assist in the organization of networking lunches and receptions; liaise with other teams and external suppliers for session deliverable; provide on-the-spot assistance during sessions for access control and guest seating. Issue invitations and reminders to attend sessions and monitor replies. Support the setup and well running of the exclusive onsite lounge for ICT leaders. Maintain stocks in magazine racks, printers, photocopiers, etc. Assist with access control and provide assistance to users of the lounge for all enquires including meeting arrangements, business services and overall event information. | |
Qualifications required | |
Education: ITU Internships are preferably open to graduate university students or Junior professionals with limited working experience. | |
Languages: Excellent knowledge of English. Excellent verbal and written communication skills, with ability to draft clear and accurate correspondence in English. Knowledge of an additional ITU official language (Arabic, Chinese, French, Russian or Spanish) would be an advantage. | |
Competencies: A sense of responsibility and ownership, and concerned with accuracy and quality. Service focused, exercising diplomacy and tact. Demonstrate initiative and enthusiasm. Able to adapt to a varying workload in a multicultural environment Well organized Team players Knowledge of Microsoft Word and ability to learn new software applications quickly. | |
Additional Information: Please note that a non-remunerated Internship position at ITU does not carry the same "conditions of employment" as a Short Term or Fixed Term position. Mandatory medical insurance as well as accommodation and living expenses are the responsibility of the Interns or sponsoring institutions, including travel expenses if any. | |
