PATH's Malaria Control and Evaluation Partnership in Africa (MACEPA) partners with national governments to plan and evaluate malaria control program implementation. MACEPA is committed to developing tools and approaches that can be adapted and shared between and across malaria endemic countries to improve national capacity to scale up and maintain high coverage of malaria prevention and control interventions. Currently, MACEPA is focused on developing an evidence-based framework to guide countries through a comprehensive set of program interventions to elimination.
Reporting to the Project Director based in Lusaka, the Administrative Associate will provide administrative support to the Project Director and other senior staff in-country.
Duties and Responsibilities:
Communication and Scheduling
- Serve as the primary point of administrative contact and liaison for the Project Director and Senior Technical Officer.
- Overall management responsibility for the Project Director’s calendar and schedule, including prioritization, follow-up, and dissemination of information.
- Draft, proofread, and edit a wide range of internal communications; draft correspondence; prepare and review reports, talking points, and presentations.
- Research background information for meetings, reports, speeches, and executive correspondence.
- Ensure flow of information and documents during the Director’s absence.
- Manage confidential and sensitive matters appropriately.
- Assist in the formatting of documents and presentations
Department support
- Provide support to the Project Director and Senior Technical Officer in agenda setting, problem solving, project planning and management, and development and execution of stated goals and objectives.
- Schedule and organize all-staff meetings, partner meetings, retreats, workshops, and events.
- Assist in orienting new Africa based staff to PATH procedures.
- Facilitate document review and approval for the Project Director’s office.
Travel and expenses
- Overall responsibility for Project Director’s travel. Work with PATH’s travel agency, Travel Team, and other offices as necessary, to make all travel arrangements. Complete required documentation prior to travel. Coordinate travel expenses for reconciliation following trip completion.
- Complete required documentation for reimbursement of Project Director’s expenses.
- Complete administrative forms and assist the Project Administrator with tracking and monitoring expenses.
External relations
- Support the Project Director in managing and fulfilling role as a PATH representative to local and international organizations.
- Work with MCP Director and MACEPA Advocacy and Communication team to plan and implement special projects/events involving the Project Director.
Other administrative responsibilities and projects
- Create and maintain appropriate filing and documentation systems and databases.
- Provide Microsoft Office suite support to colleagues on request.
- Post materials on PATHnet.
- Assemble, prepare, and distribute materials for meeting and trainings as requested
- Provide support for special events and projects as requested.
- Provide administrative support as requested.
- Excellent skills with Microsoft Word, Excel and PowerPoint
- Excellent written and spoken English
- Ability to work independently with a high degree of reliability, accuracy and productivity.
- Ability to exercise discretion and independent judgment effectively in decision-making processes and planning.
- Strong oral and written communications skills.
- Ability to maintain harmonious working relationships and effectively address complex and sensitive administrative issues throughout the spectrum of constituents.
Bachelor’s degree in a social science plus a minimum of four years of program or executive assistant-level experience with three years working on public health programs. Prior experience providing support to a senior leader or executive.
