Job Summary;
The Human Resources Assistant (HRA) reports to the Human Resources Manager and Provides specialized HR professional support in day - to -day management and administration of the Human Resource function in alignment with Foundation business strategy
Essential duties and responsibilities
• Policy and Procedures,
-Implements HR policies and procedures that are in line with staff contracts, employee handbook, labor laws and field operational manual,
• Report writing.
-Conduct trends and report, analysis on various HR indices
-Provide monthly report highlighting Resourcing Status Performance Review Status, Engagement Action Plans and other HR actions.
Business Partnering and Headcount management
-Capture feedback on an ongoing basis and ensure that the feedback is acted upon to bring in operational effectiveness
-Oversee the management and general administration of employee leave plan§
-Implement Culture Change processes
- Facilitate Employee Relations in the field offices
-Guide various stakeholders on corrective actions for example grievances, conflicts and disciplinary procedures
-Ensure that employees are advised of any changes to HR policies and procedures
• Assisting on Recruitment & boarding
-Administrative facilitation of recruitments including Preparing Interview Schedules, background screening and reference checks for final job candidates.
-Ensure availability of accurate and up to date Job Descriptions for all roles
-Effective filling of all related documents for all staff, ensures all required employee documentation is obtained,
-Ensures complete and up-to-date employment documentation and confidential
Handling of employee information.
-Track and monitor probationary periods
• Performance Management
-Educate staff on performance management process and on how to manage
-Advise the Line managers in building people capacity
-Ensure proper implementation of performance reviews by Supervisors with their staff in a timely manner each year, whilst ensuring all reviews are recorded on performance management system within timeline.
-Track and monitor performance improvement plans.
• Exit management
-Facilitate separation of staff as per internal policy and procedures' of exit management. Organize exit interview, return of office equipment and terminal benefits
-Ensure proper planning and preparation in respect of departing staff,’ including fulfillment all handover responsibilities, correct payment of terminal dues.
• Service Award Management
-Administer Various Awards given to staff on monthly basis and communicate to Headquarter
-Ensure proper distribution of awards to respective staff timely.
-Prepare consolidated report on the award given on every quarter
• Compensation and benefits
-Interface with the, payroll administrator to ensure payroll is promptly informed of any changes affecting the employee employment t condition
-Support HR administration of merit process and contract renewal
-Carry out any other related duties as may be assigned by the Human Resources Manager.
Required Qualifications
-Degree or Advanced diploma in Human resource
-Knowledge of Tanzania labor laws
-Must demonstrate interpersonal confidence with the, ability to plan through complex situations effectively while building constructive relationships
- Ability to build partnerships in a matrix organizational environment along with providing Coaching and counseling to all levels.
-Strong level of influence and negotiation skills.
-Presentation Skills .
Knowledge, Skills& Abilities ,
• At least 2 years proven practical work experience Human Resources ,Management implementing HR practice as per employment policies and ,other legal requirements
• Previous work experience with international NGO's or International Organization would be an added advantage.
• Ability to maintain confidentiality with a' high level of professionalism. 0
• Able to work efficiently as-a team member
• Ability to read, write and fluently speak both English and Kiswahili
• Computer literate, with comfortable basic MS packages working experience (Word, Excel, and PowerPoint
