BASIC FUNCTION OF POSITION The incumbent acts as the Administrative Clerk in GSO Shipping & Customs Unit. The incumbent coordinates the section’s administrative responsibilities, filing, answering general queries, process a variety of Customs & Shipping documents, dispatching and distribution of shipping documents. He/she will collect and report all metrics required to evaluate section performance. He/she will work collaboratively with six other Shipping team members. The incumbent will be evaluated on their ability to work as an efficient and effective team member and contribute to the overall productivity of the GSO Shipping & Customs. Supervision is provided by the Shipping Supervisor. MAJOR DUTIES AND RESPONSIBILITIES Provides general and technical support in the clerical activities of the Shipping Office. Receives a variety of requests, general paperwork and other pertinent shipping documents; files or redirects the same to the shipping assistants and the unit supervisor as necessary.Is the focal point for information gathering and assessment that allows the supervisor to analyze performance and report status of the operation posture.Provide a stop-gap measure for the Shipping Unit and handles general customers’ inquiries which require no referral, or refer customers to appropriate person(s).Maintains Customs & Shipping Section operating contacts using the spreadsheets, assists the Unit in reviewing scheduled activities, troubleshooting and Customer assistance of newly arrived Employees in conjunction with Shipping Assistant and Customer Service Centre Drafts dip notes on inbound/outbound shipments and incoming VIPs requiring use of airport Government VIP lounge(s).Undertakes delivery and collection of approved documents at KRA, MoFA and other related Government Agencies.Tracks inbound/outbound shipments and advises shipping assistants accordinglyResponsible for applying, processing and follow-up VAT exemptions with MoFA, KRA and answers non technical queries raised in various GoK agencies.Dispatches and helps in accounting for a variety of documents to appointed Removals and clearing agents.Will provide back up for Shipping Assistants whenever they are out of the office.Other duties as assigned.
