ORGANIZATIONAL SETTING
The Human Resources Section (HR) has a transversal function in the organization and its aim is to ensure that ITC has the right quality of Human Resources with the appropriate skills and competencies in order to achieve its strategic and operational goals and to provide staff with a supportive, challenging and rewarding work environment in order for them to fulfill their potential and maximize their contribution to the organization.
RESPONSIBILITIES
Under the direct supervision of the Sr. Human Resources Officer, the technical guidance of the ITC Gender Focal Point and the general guidance of the Chief, Human Resources, the Human Resources Assistant will perform the following duties
Gender
  • Assist in the preparation of work for a variety of current and planned gender initiatives and programmes (i.e., 'Bring Your Child to Work', Mentoring for Women programme, gender dashboard, outreach practices, work-life balance, etc.).
  • Coordinate the organization and logistics of training events, workshops, presentations and briefings.
  • Participate in gender-related activities and initiatives and handle related day-to-day queries.
Policy
  • Assist in research and compilation of a range of policy material for use in the preparation of policies, for inclusion in a variety of reports and for matters before the Joint Advisory Committee (JAC).
  • Assist in the implementation and monitoring of policies and in the updating of the administrative issuance database and review of new and historic administrative issuances to ensure conformity with relevant UN staff rules and regulations, policy guidelines and requirements.
  • Recommend improvements to policies, processes and systems.
Monitoring, reporting and budget
  • Prepare statistical reports on a wide range of HR and gender-related topics; compile data and provide a preliminary analysis on data trends against key HR and gender targets and objectives; undertake the necessary research and coordination to collect information for reporting purposes.
  • Monitor the status of budgets; assist in the preparation of budget revisions and updates of the ITC project portal.
  • Assist in the monitoring and evaluation of work-life balance usage at ITC and contribute to the production of periodic reports to SMC.
General
  • Provide general office support services.
  • Set up and maintain the integrity of the policy and gender team's files/records (electronic and paper) and databases.
  • Process, draft, edit, proofread and finalize for signature/approval a variety of communications, reports and correspondence.
  • Handle operational day-to-day queries related to policy and gender-related activities from internal and external parties.
  • Perform other related administrative duties, as required.
ELIGIBILITY CRITERIA EDUCATION
  • High school diploma or equivalent.
  • Must have passed the ITC Microsoft test (MOPT). WORK
EXPERIENCE
  • A minimum of five years of progressively responsible experience in human resources management, administrative services, legal services or related area and ideally including some experience working in HR policy and / or gender-related areas.
  • Experience supporting the administration of projects is highly desirable.
LANGUAGES
  • Advanced knowledge of English with a working knowledge of French or Spanish.
  • Knowledge of another official United Nations language is an advantage.
MANDATORY KNOWLEDGE AND SKILLS
  • Strong knowledge of Microsoft Office applications, particularly Word, Excel and PowerPoint. Excellent drafting skills in English.
  • Strong research skills.
  • Demonstrated knowledge of gender-related issues.
DESIRABLE KNOWLEDGE AND SKILLS
  • Knowledge of the UN HR regulations, rules and policies.
  • Demonstrated knowledge in UN-SWAP framework.
  • Training in gender-related issues including UN- SWAP framework.

TERMS OF SERVICE
Appointments with ITC are service-limited to this organization. The conditions of service are governed by the United Nations Staff Rules and Regulations. This is a fixed-term appointment.
INDICATIVE ANNUAL SALARY AT THE G-5 LEVEL
Annual Salary (net of tax) CHF 75,093 at single rate, with annual increments subject to performance.
