Program Overview The New Business Development department is responsible for developing new business opportunities for Pathfinder International and securing funding from governments and other multi-lateral donors such as United Nations agencies, the World Bank, the Global Fund, the United States Agency for International Development (USAID), the Centers for Disease Control (CDC), and others. Position Purpose The Temporary New Business Development Coordinator will work closely with the Director of New Business Development, other headquarters departments, Washington, DC based staff, Pathfinder country offices, and partner organizations to develop and produce winning project proposals. S/he will support effective proposal coordination by tracking new business opportunities, ensuring strategic communication with all parties and assisting with managing proposal inputs. Key Responsibilities •Maintain the opportunity sourcing database, review and present solicitations to the team, and present regular status reports. •Provide general logistical support to the proposal team, including requesting billing codes, setting up a network directory, managing the proposal email group, etc. •Work with the Proposal Team Lead in preparing proposal calendar and following deadlines to ensure they are met. •Organize and facilitate all regular proposal meetings. Send Outlook meeting requests, reserve conference rooms, prepare the agenda, and take notes to distribute to the team following the meeting. •Ensure team members are familiar with all support unit database resources, such as the recruitment database, the past performance database, the project database, etc. •Deliver the final proposal drafts to reviewer; forward marked-up draft and distribute comments to the team; work with the team to make sure all changes and edits are made to final documents. •Manage editing and graphic design requests. Liaise with the team to ensure all proposal materials are available. •Review the final printed versions of the proposal, checking for printing and grammatical errors. •Manage preparation of required e-submissions and send the documents via email to the requested donor email address at least 48 hours (two business days) ahead of the original submission date. •Manage process to ensure printed copies are delivered to donor prior to deadline. •Ensure receipt of delivery is provided by donor and saved to the proposal file. •Ensure all proposal team members clean up their proposal files; send out go/no-go letters to candidates, and copies of the proposal to exclusive subcontractors. •Organize a wrap-up session. If needed, write up and distribute lessons learned and best practices to the entire region. •Keep proposal team informed of the proposal status (win, loss, delay, Best and Final Offer, etc.). •Manage all administrative aspects of the office. •Perform other duties as assigned. Basic Requirements •Bachelor’s degree in economics, business, communications, international relations or international health. •At least 2 years of experience working in an office environment providing administrative support. •At least 1 year of experience writing and/or coordinating proposals. •Excellent organizational skills, including ability to multi-task, adapt to changing work priorities and meet deadlines. •Strong computer skills, including proficiency in Microsoft Office Programs (especially Word, Excel, PowerPoint and Visio). •Ability to exercise sound and timely judgment and maintain confidentiality of sensitive information. •Excellent interpersonal skills, ability to work independently and as an effective team member in a complex and fast-paced environment. •Excellent English reading, writing and oral communication skills. •Excellent editing skills with strong attention to detail. •Willingness and ability to travel domestically and internationally as needed. Preferred Qualifications •Advanced degree in Public Health, Public Administration or International Relations preferred. •Additional language skills in French, Arabic, Portuguese, and/or African local languages helpful. •Knowledge of gender, international development, international health programs, reproductive health, family planning and HIV/AIDS extremely helpful. •Experience writing and/or coordinating grants/contracts/cooperative agreements for the US Agency for International Development (USAID) preferred. •Experience living, studying and/or working in the developing world is a plus. •Experience with SharePoint extremely helpful. **Please note this is a temporary position beginning in January 2012.
