Duties and Responsibilities
Under the direct supervision of the OHCHR Regional Representative for Europe and the Officer in charge, as well as in coordination with the Programme Assistant in Brussels, the incumbent will perform all administrative and programmatic activities necessary for the support of the Regional Representative’s work and the implementation of the activities under the OHCHR Regional Office for Europe. He or she will contribute to fulfilling the OHCHR Brussels team’s overall work-plan, displaying flexibility in his or her work and to the practical needs of the team. The Programme Assistant will carry out the following duties:
- Assist in the implementation and monitoring of OHCHR Regional Office for Europe’s activities in the region through provision of support to the preparation and monitoring of work plans, assistance in the logistical management of activities;
- Provide assistance in the preparation of conferences, seminars, workshops and other meetings with OHCHR/UN and our partners, including attendance of these events. This includes all logistical arrangements, distributing agenda and background information, preparing necessary material and equipment, minute-taking, etc.;
- Assist in the drafting of concept notes and reports for activities;
- Carry out substantive duties in relation to project formulation, monitoring and evaluation.
- Respond to ad hoc requests for support as required.
Qualifications:
Education and experience: Completion of secondary education or equivalent. Specific training in a field relevant to project management, finance, logistics, administration, accounting or other field requiring substantial organizational skills will be an asset. 8-10 years of progressively responsible experience in
programme/project operations and administration and/or secretarial experience in directly related fields such as Office Management acquired through progressively responsible work position.
Knowledge and skills: Excellent organizational skills and ability to work under pressure. Excellent drafting, communication and IT skills. Proven administrative and organizational capacities both within an office and in a conference context. Ability to establish effective working relations in a multicultural team environment. Excellent interpersonal skills. Knowledge of the institutions in the region and familiarity with OHCHR work will be an asset.
Language: Fluency in written and oral English and French. Knowledge of Spanish will be an asset.
