Organizational Setting

The Transportation Unit, under the Travel and Transport Section of the Division of General Services, handles approximately 300 freight authorizations per year. These involve shipment/removals and storage of household goods at a value of about Euro 3.2 million.

Assignment

Under the supervision and guidance of the Supervisor, Transport Unit, the Transportation Assistant:

Administers the removal of household goods and personal effects of staff members, official shipments, insurance, and other transportation matters.
Obtains worldwide bids, consider transport cost estimates in accordance with IAEA procedures, and negotiates the most favourable rates. Determines the most economic means and routes of transport, selects moving companies for contract award and instruct on routings, advises staff on removal and transport procedures, organizes and controls all follow-up actions.
Evaluates invoices, checks entitlements, splits costs between the IAEA and staff where necessary, handles correspondence and related negotiations.
Administers transport insurance matters, including evaluation of shipments, calculation of premiums, processing of claims, preparation of quarterly reports to insurance companies and advises to staff members.
Acts for the Unit Supervisor during his/her absence and assists in other transport matters. This includes monitoring radioactive and chemical shipments, and supervising the drivers.

Knowledge, Skills and Abilities

Excellent interpersonal and customer skills: Ability to work effectively in a multicultural environment with sensitivity and respect for diversity with colleagues at all levels.
Ability to establish and maintain smooth working relationships with colleagues and a wide range of outside contacts in the transport sector.
Good communication skills: Ability to draft routine correspondence and reports in English and to maintain and update documents in accordance with IAEA standards. Ability to communicate in a clear, concise and effective manner.
Good organizing skills: Ability to prioritize work assignments, organize own schedule, perform work independently, and meet deadlines.
Good working knowledge of Microsoft Office 2010 (Outlook, Word, Excel, PowerPoint), which is the IAEA's standard.
Ability to work under pressure accurately and reliably and within time constraints.
Initiative to carry out tasks independently and to handle multiple responsibilities simultaneously.
Excellent verbal and written English essential.
Knowledge of any other official IAEA official languages (Arabic, Chinese, French, Russian, Spanish) an advantage. Knowledge of German highly desirable.
Excellent knowledge of rules and regulations governing official shipments and transportation required.
English Language Test (Level 2) and English typing Test (Level 2) to IAEA standard.

Education and Experience

Completed secondary education.
At least seven years of relevant clerical and administrative experience, of which five years should be in the shipping and transport business, preferably in an international environment.

^*Note: An internal staff member holding a Fixed Term (FT) contract would be offered an FT contract. Other internal or external appointees would be offered a Fixed Term Temporary Assistance (FTA) contract.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €38 791 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
