Position: Executive Secretary in the Registrar's Division

Description:
Main Purpose:
The Office of the Registrar invites suitably qualified and experienced applicants for the position of Executive Secretary. The Executive Secretary will provide a professional administrative and secretarial function to the Registrar, as well as support the functions and duties, and manage the office of the Registrar of the University.
Key Responsibilities include the following:
- Responsible for effectively managing the Registrar’s diary and producing written correspondence for the office of the Registrar, including minutes, presentations and reports
- Receives visitors, and manages the telephone effectively, by redirecting calls and taking messages where appropriate
- Responsible for carrying out general office duties including managing incoming and outgoing faxes, making travel arrangements, procuring stationery and office machinery and assuming responsibility for incoming and outgoing mail
- Maintains an efficient filing and document retrieval system (paper and electronic)
- Deals efficiently with non routine matters and demonstrates a willingness to solve problems independently
Requirements:
- Grade 12 plus a professional secretarial or equivalent diploma
- Five years secretarial experience, at least three of which is at a senior secretary level
- Computer literacy (MS Office, Word, Excel, PowerPoint, E-mail and internet)
- Demonstrated verbal and written communication skills (drafting minutes, compiling reports and presentations)
- Demonstrated ability to display initiative and attention to detail
- Sound organizational skills and ability to work under pressure
- Demonstrates an approach and attitude of professionalism in interacting with students, staff and visitors
Preferences
- Working knowledge and understanding of Oracle i.e. creating requisitions
- Working experience in a Higher Education environment
