DUTIES AND RESPONSIBILITIES:
Under the supervision of the Deputy Team Leader, the incumbent will provide administrative support, including logistics and basic procurement tracking for the Health and Population team by carrying out a full range of administrative functions, including logistical, procurement tracking, information gathering including program and project documentation and storage in support of the Health Team’s operational objectives and program areas.
Key position elements include, but are not limited to:
(a) Administrative and Secretarial Support Services, including: controlling and maintaining the Team Leader’s calendar, setting up appointments at own discretion and arranging meetings, establishing and maintaining Health Officer’s working subject files, project and program files consistent with the team’s needs; serving as the timekeeper for the Health team, ensuring that time and attendance records are submitted for all team members; and preparing travel documents and finalizing travel arrangements, including preparing travel requests, obtaining visas, arranging tickets and ground transportation and preparing travel vouchers.etc.
(b) Material Collection and Communications Services, including:
Following up clearance of project documents or delayed documents through host government channels, responding to inquiries regarding clearance and document processing requirements, and tracking documents as necessary: drafting and tracking of procurement documents and communicating with partners for coordination and follow up of financial deliverables to the Mission; maintaining a chronological filling system for all Health activities, including current program and activity files; and attend meetings, such as the weakly Health team meetings, and take notes of principle points for records and follow-up-
(c) Any other duties as required.
QUALIFICATIONS REQUIRED:
Education: Completion of College Education in Business or secretarial training is required. Prior Work Experience: five to seven years of Administrative and Secretarial experience is required. Knowledge: Strong knowledge of normal business practices and office procedures is required. The incumbent should also have some knowledge of the procedures governing the preparation of program documents. Skills & Abilities: This position requires maturity and interpersonal skills. Incumbent must possess an excellent capacity to absorb information. Level II typing ability (a minimum of 40 words per minute with a high degree of accuracy) is required. She/ He must have the ability to maintain good work relations with colleagues, to receive visitors to the office and provide information or direction to personnel. She must have a strong understanding of computer software applications, including MS Office applications, with skills on office information systems and copy machines also required. Language Proficiency: Level IV English and fluent Kiswahili ability required.
