Fintrac Program Assistant - Human Resources

USAID-KAVES, a five-year agriculture program implemented by Fintrac Inc., is hiring a Program Assistant – Human Resources who will be based at the program headquarters in Nairobi and report directly to the Director of Administration.
In addition to the specific tasks stated below, s/he is expected to contribute fully as a program team member, conducting her/himself in a proper manner at all times as a representative of the program, and is responsible for the general coordination and liaison between the field offices and Nairobi office, and assisting the Director of Administration with general Human Resources duties and procurement.
The Program Assistant respects the leadership and guidance provided by the Director of Administration and actively contributes to the welfare and working environment of the USAID-KAVES office.
Specific responsibilities include, but are not limited to:
  • Assisting with Human Resources duties that include recruitment, hiring, and filing personnel records.
  • Organizing Nairobi and Field Office staff’s leave requests as required.
  • Assisting with review and reconciliation of staff time-sheets in coordination with the Field Administrators, Finance Manager, and Director of Administration.
  • Inventory and upkeep of the Nairobi office and field offices for all equipment and furniture.
  • Monitoring VAT waiver requests for local vendor payments and carrying out purchases in accordance with current USAID VAT waiver policies and procedures.
  • Coordinating with field administrative staff to ensure that functions are well-performed.
  • Coordinating meeting schedules for program staff, arranging conferences and assisting with travel arrangements and venue/hotel bookings.
  • Assisting the USAID-KAVES staff with the preparation of reports, presentations, translations, and correspondence.
  • Verifying and organizing all HR-related documentation from subcontractors.
  • Providing any other duties as requested by the Director of Administration.
Basic Requirements - Diploma in the field of Business Administration and/or Human Resources (HR) - 3-5 years of business administration and/or general HR experience - Fluency in written and spoken English - Ability to travel across the project’s regions (Eldoret, Kisumu, Kitui) as necessary - Minimum intermediate level MS Office Suite skills
