Reporting to the Associate Director: Finance and Admin (AD: F&A), the incumbent will provide efficient and reliable financial management and administration support to ICAP.
Duties and responsibilities:
l Perform finance functions
l Oversee and review ICAP Risk Management in the following areas: * Risk control on the loading and release of payroll on the banking system * Risk control on the procurement: PO request approvals in accordance to SOPs * Financial risk controls on payments and banking system on the loading and releasing of payments * Risk control on cash request from New York to South Africa for the programmes and activities
l Oversee and review the National Office's petty cash: * Ensure petty cash is used for approved purposes * Ensure relevant receipts are submitted for all petty cash handed out to staff * Check accuracy of daily, weekly and monthly reconciliation of petty cash * Ensure petty cash float is kept at sectioned level with requests to top up submitted timeously * Ensure that national petty cash recons are submitted timeously to the Accounts section monthly with all the required signatures
l Oversee administration of travel claims - TBER and supporting documents: * Ensure all travel claims are adequately completed with relevant attachments
* Receive travel claims from the Administrator: * Liaise with Accounts section on payment processing progress and inform claimants
l Prepare invoices for payment: * Match invoices received to PO numbers issued, prepare payment vouchers with supporting documents for releasing payments l Assist with the compilation of monthly, quarterly and annual reports: * Be involved in the compilation of periodic reports as directed by the supervisor
l Oversee insurance claims: * Act as point person to receive insurance reports and associated documents needed for the processing of the claims and forward these to AD: F&A.
Requirements: l Appropriate diploma relevant to Administrative Finance functions
l At least two years' working experience in a similar position
l Computer literacy
l Excellent writing and communication skills l Good interpersonal and organisational skills.
