Purpose of the post
Under close supervision and technical guidance of Programme Officer (Coordination), collects information, maintains records and prepares documentation and correspondence pertaining to programme activities.
Major Duties and Responsibilities
1. Collects, registers and maintains information on emergency preparedness and response (EPR) project activities by reviewing reports and through first-hand sources.
2. Contribution to the preparation of status and progress report by providing information on EPR, preparing tables, and drafting selected sections of it. Prepare EPR background materials for use in discussions and briefing sessions
3. Arranges for the recording and administrative processing of government requests for assistance on EPR activities
4. Assists in the identification and formulation of development co-operation of EPR programmes and projects and participates in the preparation of draft project documents.
5. Monitors EPR project/programme activities by reviewing a variety of records, including control plans, progress reports, project inputs, budgets and financial expenditures.
6. Maintains, processes and analyses information on EPR issues relevant to the organization and on external assistance provided to the country for EPR.
7. To carry out specific administrative operational/control tasks for EPR project activities. This may include field visits to EPR project sites
8. To support capacity building efforts in the area of emergency preparedness, including training, lessons learned exercises, dissemination of best practices, organizing exposure visits, etc.
9. Performs other duties as required
Minimum qualifications & experience required.
• Completion of secondary education, preferably supplemented by technical or university courses in a field related to the work of the organization.
• Seven years of progressively responsible clerical or administrative work, of which at least one year was closely related to support of programme activities.
• Fluency in English and another UN language as required. Knowledge of the local language of the duty station is an asset.
Other Skills and Attributes
• Knowledge of global and local emergency response and preparedness issues. Capacity to systematically and quickly (when required) analyze the relevant humanitarian, socio-economic, political and security trends and developments. Strong coordination, analytical, and negotiation skills.
• The ability to act quickly and rationally under difficult circumstances. Good writing skills to draft reports. Ability to work under
time constraints and other pressure. Readiness to accept any new / additional task as required by the supervisor.
• Versatility, judgment, maturity, ability to work in a team; solid technical/computer knowledge; ability to cope under stressful and difficult conditions, and political/cultural sensitivity.
• Computer skills, including internet navigation and various applications.
• Demonstrated ability to work in a multicultural environment, and establish harmonious and effective working relationships, both within and outside the organization.
Remuneration: An attractive package will be applicable at the relevant UN salary scale.
